The BAE Systems Countermeasure and Electromagnetic Attack Solutions (CEMA) business area is seeking an administrative assistant resource to help the Systems Engineering discipline team be successful.This role a high degree of tact, initiative, accuracy and judgement, a thorough understanding of business practices and procedures and the ability to interface well with all levels of management. The successful candidate will perform a variety of tasks supporting the Systems Engineering organization.Duties include:*
  • Provide a wide variety of administrative tasks for Directors, Functional Team Leaders, SEIT Leaders, programs, and associated program team members in the organization.* Maintain databases, records, spreadsheets; prepare various schedules and perform data entry, etc.* Prepare written documents, communications, and presentation materials for meetings and presentations.* Staff meetings - plan and execute. Ensure that charts are ready to present through Teams.* Manage appointments and calendars for effective and efficient time management.* Arrange meetings with internal and external customers.* Set-up and support meetings; keep meeting minutes as necessary. Manage and record meeting action items.* Greet external visitors.* Catering requests as required using Sodexo or if Sodexo is not available at site, order through other resources and pay for purchases using the P-card and/or Amex corporate card. Expense later using the Concur site.* Make conference room reservations.* Coordinate office moves for new and current team members through Workspace Hub in One Space.* Make travel arrangements and reservations using Concur.* Prepare travel and business expense reports using Concur.* Operate various types of office equipment, computer, printers, fax machine, scanner and desk phone.* File and retrieve records, folders, or other materials.* Coordinate events and training as necessary.* Represent organizational in understanding and working with administrative policies and procedures.* Maintain a regular and predictable work schedule.* Perform other duties as necessary.* Notarize documents as the need arises.* Run the Sprint and scrum meetings weekly, assigning tasks, closing out tasks, etc.Required Education, Experience, & Skills* Strong proficiency in MS365, Sharepoint, Microsoft Outlook and Office Suite, CONCUR, Coupa, Teams, etc.* At least 4 years of experience generating professional presentations from draft material* Proactive team player with strong organizational skills and the ability to multi-task and handle multiple priorities* At least 2 years of experience working effectively across organizations, dispersed geographical locations, and coordinating large groups* Solid communication and interpersonal skills and an ability to build effective working relationships* Proven ability to work independently with limited direction* Creating and contributing to a positive work environment and employee morale* Experience working in a fast paced and agile team environment* A positive attitude and enthusiasm* Demonstrated self-starting and self-closing skills* Demonstrated ability to collaborate with all types of groups / levels of individuals* Demonstrated ability to interface with senior leadership and external visitors including senior customersPreferred Education, Experience, & Skills Associates Degree and 4 years of experience as an Administrative Assistant, or closely related position, or Bachelors degree and 2 years experience, or High School diploma and 8 years experiencePay InformationFull-Time Salary Range: $52690 - $84260Please note: This range is based on our market pay structures.
