Primary Duties and Responsibilities: Under general supervision, provides administrative support to the Student Life department. Assist in facilitating office operations as well as assisting with confidential personnel and student concerns.
  • Responsible for the daily operation of all clerical functions for the department, managing timeliness and accuracy of all work through the organizing, prioritizing, editing and proofreading of tasks.
  • Maintains co-curricular participation database for co-curricular transcripts.
  • Compose written reports and presentations. Edit and proofread documents.
  • Manage data for the department.
  • Coordinate travel arrangements for the Student Life department staff. Complete appropriate travel expenses through Concur in accordance with College financial procedures.
  • Coordinate Student Life budgets by working with the department manager and staff to develop, load and monitor annual budget data for Student Life, Student Engagement, student organizations and student clubs.
  • Assist the Manager with the completion of annual employee evaluations through the arrangement of appointments with each direct report.
  • Assist the department manager with setting up meetings for the department.
  • Prepares meeting arrangements by initiating facilities and dining services requests, preparing agendas and distributing as needed.
  • Responsible for meeting minutes for department meetings, committee meetings, and other meetings as assigned.
  • Maintain the managers calendar and monitor email for priority items.
  • Answer phone calls and greet visitors for the department manager when needed.
  • Researches and prepares reports, letters, memos and forms for the department manager.
  • Responsible for the development and maintenance of filing systems for the department, both hard files and computer files, backing-up and archiving.
  • Responsible for maintaining filing systems for the department as needed.
  • Monitors office supplies, orders as needed and maintains the office budget for supplies.
  • Provides back up support for the Student Life Front desk as needed.
  • Other related duties as assigned. Qualifications:
    • Education
      • High school diploma required.
      • Associates Degree preferred.
        • Experience
          • Two (2) years administrative assistant experience required.
          • Ability to prioritize, focus attention, and problem solve required.
          • Strong attention to detail and organizational skills required.
          • Experience maintaining a high degree of confidentiality required.
          • Good working knowledge of Microsoft office Suite required.
          • Bilingual preferred.
              Working Conditions:
            • Work tends to be interrupted by high volume of student/faculty/community walk-ins and phone calls.
            • This position requires a background check and drug screen. Hybrid Remote Eligible: Hiring Range: Classified 9 Hourly -$19 Competitive starting pay is dependent on education and experience.
