Role Overview
The Human Resources (HR) Administrative Assistant IV provides confidential technical and administrative support to the Executive Director of Human Resources and the human resources administrative team. The Administrative Assistant IV must know system-wide and human resources-related policies, procedures, and practices in addition to well-developed administrative assistant skills.
Minimum Requirements
High School Diploma.
Five (5) years of previous administrative assistant experience.
Demonstrated advanced skills in various software and electronic communication tools, including MS Office Suite (Outlook, Word, Excel, PowerPoint, etc.), Google Apps, and Adobe (measured by HR assessments).
Ability to maintain strict confidentiality of sensitive employee information, contract negotiations, grievances, and appeals.
Excellent organization and interpersonal skills, including dealing with diverse audiences (parents, general public, community advocates, employees, and elected officials).
Experience in drafting correspondence to respond to various external and internal stakeholders.
Ability to handle multiple tasks and projects independently without supervision.
Capability to accurately interpret, record, and disseminate meeting and hearing minutes.
Aptitude to manage and monitor the human resources department budget following proper accounting and purchasing procedures, utilizing system-wide software programs and advanced Excel.
Ability to manage and carry out administrative projects within the department as assigned.
Skill to organize, plan and execute work appropriately with or without supervision.
Regular and predictable attendance is an essential function of this position.

Preferred Qualifications
Associate Degree or higher from an accredited institution.
Professional certifications.
Human resources knowledge and experience.
Experience using human resources information systems and applicant tracking software.
Working knowledge of public school system policies and procedures.
Knowledge of and commitment to the organizational philosophy, goals, and policies of Washington County Public Schools (WCPS).
Role Responsibilities
Assist the Executive Director of Human Resources and the human resources administrative team with various responsibilities and special projects.
Provide leadership to the human resources Educational Support Personnel (ESP) team for department projects as assigned by the human resources administrative team.
Lead and complete projects individually and with the human resources ESP team.
Organize and maintain all paper and digital confidential and project files, including tracking employee investigations, appeals, and grievances.
Oversee unemployment insurance claims, including gathering and preparing all information and communication with the Maryland Department of Labor, Licensing and Regulation (DLLR) and Unemployment Tax Services and scheduling supervisors for hearings.
Process athletic coach postings and requests to hire.
Handle administrator and supervisor postings, including preparing candidate packets for Board of Education meetings and scheduling employee sign-ups.
Assist with the review process of employee background checks.
Conduct a badge audit every other year.
Provides badge support to current employees.
Complete all tasks associated with budgeting, researching, ordering, and purchasing for the department.
Become a certified fingerprinting provider in Maryland during the first six months in the position or a timeline approved by the Executive Director of Human Resources.
Support the Coordinator of Employee Benefits with wellness activities and communications at CES and system wide.
Support the scheduling, planning, and coordinating of events for the Human Resources Department (recruitment and job fairs, employee orientations, employee recognition, trainings, negotiations, committee meetings, wellness programming, etc.).
Accurately interpret, record, and disseminate meeting and hearing minutes.
Prepares grammatically correct letters, memos, reports, forms, surveys, etc.
Greet and assist applicants, employees, and other stakeholders in person, via e-mail, and by telephone in a courteous, professional, and friendly manner.
Handle complex administrative and research projects as assigned by the Executive Director of Human Resources.
Maintain employee confidence and protect operations by keeping human resource information confidential.
Back up the Human Resources Specialist II in their absence with the Educational Support Personnel posting and hiring process.
Demonstrate a courteous and professional demeanor to all Washington County Public Schools stakeholders.
Perform other duties specific to the assigned department.
