Administrative Assistant HR Executive

A leading global financial firm is seeking a professional and sharp Administrative Assistant to support a senior Executive within their Human Resources department, specifically within Employee Relations. This is a wonderful opportunity for a candidate passionate about administrative support, with a strong eye for detail, a sense of compassion and a strong understanding of confidentiality and discretion.

Looking for this candidate to stay in an administrative support role for at least 2 years, not looking for a quick promotion into HR.

This role is onsite in Midtown 4 days/week, 1 day remote working typical business hours.

Salary commensurate with experience: $70,000 - $95,000 + paid overtime, discretionary bonus, and a top benefits package including 401k match and free lunch onsite.

Responsibilities include:

  • Managing calendars including scheduling internal and external appointments, and overseeing/planning monthly meetings
  • Manage global travel planning and expense reports via Concur
  • Assist with administrative assistance for Employee Relations team booking meetings, conference rooms scheduling and document management
  • Answering calls and acting as a gatekeeper
  • Booking conference rooms for internal and external meetings; meeting and greeting guests, registering guests in the visitor system
  • Maintaining and organizing files
  • Monitoring and maintaining office equipment and inventory supplies for Team
  • Ad hoc projects

Qualifications:

  • Experience working within Financial Services a plus
  • 1+ years of administrative assistant experience supporting a team of 2 or more and experience coordinating travel
  • Maintain the highest level of confidentiality and has a strong sense of integrity
  • Exercise sound judgement
  • Highly organized with strong attention to detail and strong communication skills, both verbal and written
  • Ability to multi-task and prioritize competing tasks and deadlines
  • Ability to build relationships with key players and management
  • Strong Microsoft Office skills (including PowerPoint, emphasis on Outlook and Excel) and Concur is preferred
