Maxx Properties is hiring an Administrative Assistant to join our growing team in Purchase!The Opportunity: The Administrative Assistant is responsible for providing high-level administrative support within our Purchase Corporate Office to our Executive Team. The Administrative Assistant possesses clear communication skills and strong attention to detail with the ability to take ownership of various projects while maintaining strong organizational skills in a fast-paced environment. ESSENTIAL JOB FUNCTIONS:
Perform diverse administrative duties and manage high-level tasks including but not limited to in-person and virtual meetings, events planning, calendar management, travel arrangements and managing confidential informationPrepare and coordinate internal and external meetings/conference calls including conference rooms, venues, transportation, food and the preparation of meeting materialsAnswering and screening phone calls; responding to emails and inquiries in a timely and professional mannerDrafting and proofreading emails, documents and lettersCreate presentations, proposals and reports for various Executives in Microsoft Suite and other applicable systemsMonthly expense reporting within ConcurCreate and maintain accurate files for the Executive TeamPrepare outgoing mail and FedEx packagesPrepare and maintain organizational chart for the organizationMaintain CRM databaseAct as an ambassador and liaise with internal teams, board of directors, business associates, vendors and business partnersSKILLS AND QUALIFICATIONS:
3-5 years of Administrative Assistant experienceBachelor's degree (or Associate's degree in a relevant field) is preferredStrong project management skills and the ability to multi-task on multiple projects simultaneouslyStrong written and communication skillsProficiency in Microsoft Office including Word, PowerPoint and ExcelProficiency in Concur or similar expense management systemStrong organization and time management skillsStrong analytical and problem-solving skillsMust be able to maintain a high degree of confidentialityEmployee Perks & Benefits- Medical, vision and dental plans (multiple options to choose from)
