Job Description:
Maxx Properties is hiring an Administrative Assistant to join our growing team in Purchase!The Opportunity: The Administrative Assistant is responsible for providing high-level administrative support within our Purchase Corporate Office to our Executive Team. The Administrative Assistant possesses clear communication skills and strong attention to detail with the ability to take ownership of various projects while maintaining strong organizational skills in a fast-paced environment. ESSENTIAL JOB FUNCTIONS:
  • Perform diverse administrative duties and manage high-level tasks including but not limited to in-person and virtual meetings, events planning, calendar management, travel arrangements and managing confidential information
  • Prepare and coordinate internal and external meetings/conference calls including conference rooms, venues, transportation, food and the preparation of meeting materials
  • Answering and screening phone calls; responding to emails and inquiries in a timely and professional manner
  • Drafting and proofreading emails, documents and letters
  • Create presentations, proposals and reports for various Executives in Microsoft Suite and other applicable systems
  • Monthly expense reporting within Concur
  • Create and maintain accurate files for the Executive Team
  • Prepare outgoing mail and FedEx packages
  • Prepare and maintain organizational chart for the organization
  • Maintain CRM database
  • Act as an ambassador and liaise with internal teams, board of directors, business associates, vendors and business partners
  • SKILLS AND QUALIFICATIONS:
  • 3-5 years of Administrative Assistant experience
  • Bachelor's degree (or Associate's degree in a relevant field) is preferred
  • Strong project management skills and the ability to multi-task on multiple projects simultaneously
  • Strong written and communication skills
  • Proficiency in Microsoft Office including Word, PowerPoint and Excel
  • Proficiency in Concur or similar expense management system
  • Strong organization and time management skills
  • Strong analytical and problem-solving skills
  • Must be able to maintain a high degree of confidentiality
