Job Description:

EcoPoint Inc. (EcoPoint) is looking to hire a part-time Administrator Assistant to work in our office location in Rifle, CO. The Administrative Assistant is responsible for the supporting financial operations such as: expense tracking and organization and financial obligations of accounts payable.

Responsibilities and duties will involve:

  • Employee credit card receipt verification and confirmation of expense allocation, such as category, customer/project, class/location, matching Expensify submittals and/or emailed receipts with the Quickbooks transaction, and adding them to the bank register.
  • Other accounts payable tasks include charge account payments for field expenses, receipt matching to Quickbooks, verification, and proper expense category allocations of expenses through business checking and adding them to the bank register.
  • WEX fuel charge monthly statements and allocations, including running reports, creating and verifying spreadsheets, fuel card-holder accountability, and entry into Quickbooks.
  • Vehicle expense tracking assistance, e.g. updating fleet sheet tracking spreadsheet, and updating electronic maintenance record files.

The Administrator Assistant will also be required to support the scheduling and organization of the CEOs daily tasks.

Responsibilities and duties will involve:

  • Coordinating meetings, appointments, and travel for managers and employees
  • Maintaining filing systems, contact databases, and employee lists, and keeping accurate records
  • Preparing emails, memos, letters, and other correspondence, and responding to inquiries

To be a successful hire, you will need to have extensive experience in QuickBooks Online and Quickbooks TSheets, be accessible by phone or email during office hours, and have impeccable organizational skills. You must be clear and efficient in communication, be able to work independently, and have exemplary work ethic. You will also need to be proficient in Google applications such as Slides, Meet, Sheets, and Forms. Background knowledge of the oil and gas industry is recommended.

Administrative Assistant Requirements:

  • A Bachelor degree or equivalent
  • 3-5 years of experience in bookkeeping
  • 3-5 years of office management experience
  • High degree of proficiency in QuickBooks Online
