Job DescriptionPOSITION OVERVIEW The Administrative Assistant provides a high level of confidential administrative support to ensure efficient and effective operations for the Executive Director of KIPP Minnesota Public Schools. The Administrative Assistant plays an important and strategic role, enabling the Executive Director to work most effectively with internal and external stakeholders to fulfill the school's mission, vision and strategic priorities in a manner consistent with our core values and policies and procedures. PRIMARY RESPONSIBILITIES •Plans, manages and maintains an accurate calendar of meetings and other commitments on behalf of the ED while balancing competing scheduling priorities •Provides administrative support on complex and/or confidential matters to senior leadership members as assigned, including but not limited to: travel arrangements and itineraries, agendas, expense reports, PowerPoint presentations, meeting and event logistics, etc.. •Ensures that assigned senior leaders are appropriately briefed for all events and meetings by coordinating with other staff and external partners •Manages the daily requirements of the executives office, including but not limited to: referring inquiries to appropriate staff, arranging meetings, and preparing requisite materials for meetings. •Composes, transcribes, edits and disseminates reports, memos and other senior-level correspondence •Assists in the preparation of board, committee and other group meetings including logistics, catering, audio and IT requirements •Attends meetings as assigned and records accurate minutes •Organizes and maintains confidential and important hard copy or electronic files •Proficient Typing Speed of 65 WPM or above with limited errors QualificationsDESIRED EXPERIENCE Required •Associate's degree or 3+ years of progressively increasing responsible Administrative Assistant experience. •Ability to resolve complex and/or confidential administrative issues with excellent judgment and little or no supervision •Has demonstrated experience proactively scheduling executive calendars. •Independently prioritize competing projects and deadlines with flexibility to shift priorities swiftly •Must thrive in a fast-paced environment, work well under pressure and handle stress •Strong technical and computer skills with an emphasis on Google Suite and Microsoft Office, including: Word, PowerPoint and Excel •Proactive approach in taking on additional responsibilities and willingness to help others when necessary •Demonstrated oral, written and interpersonal communications skills, both in person and over the phone; ability to communicate professionally, with tact and diplomacy •Excellent attention to detail and organization skills •Ability to work individually and as part of a team •Customer service and hospitality expertise demonstrated in resume experience Highly Preferred •Bachelor's degree •5 years of experience Additional InformationCOMPENSATIONSalary: $46,000- 60,000 *Commensurate based on experience.
