Job Description:

Resource Property Management is looking for an experienced administrative assistant in our Seminole and Clearwater offices. 2+ years administrative experience required! Administrative Assistant. Requires excellent customer service and computer skills. Essential Duties and Responsibilities:

  • Respond to all voice mail messages and emails within 24 hours.
  • Handle telephone calls maintaining a high level of customer service.
  • Report emergencies to appropriate manager &/or Executive Team Member immediately.
  • Contact vendors for services &/or supplies as needed.
  • Utilize Vantaca for all aspects of community management.
  • Assist manager with timely preparation of board meeting packets.
  • Send monthly financial reports to the board within 24 hours of receipt.
  • Track annual report filings, elevator certs, pool permits, etc.
  • Process sales/rental applications, gate entry systems, etc.
  • Prepare violation letters in a timely manner.
  • Process/scan invoices to Accounts Payable on schedule.
  • Filing association records. Purge and box files annually.
  • Special projects and or other miscellaneous duties that may arise from time to time.
Education and/or Work Experience Requirements:
  • Excellent verbal & written communication skills, including ability to effectively communicate with coworkers, board members, vendors and owners/residents.
  • High level of computer proficiency in MS Office and ability to learn RPM's management programs
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
  • High school diploma or GED required.
Physical & other Requirements:
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
  • Ability to safely and successfully perform the essential job functions consistent with RPM's internal procedures and policies as well as all related employee handbooks and training/safety manuals.
  • Maintain regular, punctual attendance consistent with RPM policies & practices.
  • Must be able to lift and carry up to 20 pounds.
  • Must be able to talk, listen and speak clearly on telephone.
Compensation is commensurate with experience. Excellent benefits including group health insurance, PTO and a 401k plan with a company match for full time employees working 30 hours or more.
