Once a summary page appears, hover your mouse over the orange Action button for a list of possible approval step options.Position Information Position Title Administrative Assistant Job Summary The administrative assistant is responsible for providing administrative support for the Department of Small Animal Clinical Sciences and provides effective communications between the department head and internal/external constituents.Essential Job Duties
  • Coordinate and manage all small animal departmental and administrative functions
  • Keep department head and faculty/staff apprised of all events and activities between the College and the department
  • Prepare and compose correspondence, reports, memoranda, and other documents
  • Assist department head in preparing all internal and external reports and presentations
  • Gather information needed to compile and prepare reports from multiple sources
  • Coordinate and attend departmental meetings, prepares agendas, transcribe and distribute minutes
  • Answer and relay telephone calls, resolve routine/standard inquiries, and take appropriate messages
  • Serve as primary contact for the departmental calls and inquiries and point of contact and coordinator of guests and visiting lecturers
  • Prepare and process requisitions, invoices and other budget related documents
  • Coordinate and maintain calendar of events, appointments, meetings, and travel itineraries for the department and department head
  • Coordinate departmental travel for faculty, staff and visitors
  • Maintain departmental calendars, faculty and staff records, and job descriptions
  • Manage timekeeping, leaves and payroll for assigned personnel
  • Support hiring process and coordinate onboarding process for faculty and staff
  • Support curriculum program and assist in preparing course syllabi and organizing, filing and uploading course documents in curriculum software
  • Maintain records and file system to effectively manage information
  • Maintain and organize operational procedures in order to maintain an efficient flow of work
  • Develop and maintain up to date, accurate and confidential departmental filing system for documents and grades
  • Coordinate department activities as directed by the department head
  • Maintain departmental bulletin boards with current information
  • Serve as exam proctor as needed
  • Perform other duties as assigned
Qualifications (Education, Experience and Specialized Training)
  • At least four (4) years of office and secretarial experience, Associate degree or certification preferred.
Physical Demands N/ASkills and Attributes
  • Knowledge in computerized office procedures, Microsoft office and internet
  • Ability to operate standard office equipment
  • Strong interpersonal, oral and written communication skills
  • Ability to work effectively with persons from diverse ethnic backgrounds
  • Ability to work independently as well as collaborate with others as a team member
