Position Overview:

The Administrative Assistant provides essential operational and administrative support to ensure the smooth running of the office. This includes tasks such as greeting visitors, answering phone lines, and supporting the CEO and other departments. The ideal candidate will respond to both internal and external customer needs in a professional, accurate, and timely manner.

Core Responsibilities:

* Provide administrative support for efficient office operations, including answering phones, greeting visitors, and resolving inquiries.

* Create spreadsheets, manage CRM information, and assist with presentations.

* Assist the CEO and management with various projects.

* Maintain and update online documentation in Salesforce and HR systems.

* Manage incoming and outgoing mail.

* Respond to emails and digital correspondence.

* Manage senior staff calendars and make travel arrangements.

* Draft and edit letters, reports, and other documents.

* Coordinate meetings, including setup and catering.

* Conduct research and compile reports or presentations.

* Collaborate with other administrative staff to support team members as needed.

* Maintain confidentiality when handling sensitive information.

* Ensure deadlines are met and adapt to changing priorities.

* Represent the company professionally.

* Maintain physical and digital filing systems.

* Assist with ordering food for meetings, events, and holidays.

* Accurately complete job-related tasks within CRM (Salesforce) and QuickBooks.

* Review and inspect job contracts and paperwork for accuracy.

* Assist with collection calls, scheduling installations, and other tasks as needed.

* Make Welcome Calls using provided scripts.

* Perform other duties as assigned.

Qualifications:

* Experience: At least two years in an administrative position.

* Education: High School Diploma or GED Equivalent.

* Skills:

* Proficiency in MS Office, data entry, and database management.

* Strong time management and attention to detail.

* Ability to maintain calendars and schedule appointments.

* Dependability, punctuality, and regular attendance.

* Excellent communication skills, both spoken and written.

* Ability to work independently and as part of a team.

* Must pass a criminal background check.
