The Administrative Assistant will provide comprehensive administrative, budgetary, and event coordination support to the Offices of Advancement. This role will report directly to the Director of Institutional Advancement.

WHAT YOU WILL BE DOING:

Job responsibilities include, but are not limited to:

Budget Management - 35%

* Prepare and file financial reports for the Director of Institutional Advancement.

* Monitor purchases, recharges, and expense transfers. Initiate and perform follow-up with central administrative offices on requisitions, credit card purchases, purchase authorizations, and other forms. Maintain a working knowledge of changing policies and procedures. Follow up as necessary to ensure timely completion of forms and payments.

* Book flights, hotels, cars, and other travel-related needs for the Director of Institutional Advancement and other members of the Advancement team, as needed.

General Office Management - 35%

* Establish schedules and provide training to Advancement team members and student interns (if applicable) who serve as front desk receptionists and have specific assigned roles in the office.

* Develop and maintain administrative procedures; recommend, develop, and implement changes as appropriate.

* Serve as front desk receptionist.

* Delegate office-wide tasks to Advancement team members and student interns (if applicable), including but not limited to front desk reception, large mailing preparation, filing, event setup, etc.

* Complete data entry assignments as assigned.

* Coordinate personnel workstations, including offices, desks, phones, and cubicles. Expedite moves of furniture, telephones, and computer equipment with campus facility services when office relocations are needed or new team members are hired.

* Assist with Human Resources protocols, including setting up interviews, communicating with applicants, and requesting the establishment/removal of security access, credit cards, keys, email, phone, etc.

* Schedule meetings and manage the calendar of the Director of Institutional Advancement.

Marketing Communication Job Processing System - 20%

* Assist with the management of the marketing communication job processing system, including job input, status updates, client communication, and vendor communication.

Event Coordination - 10%

* Assist with event coordination for high-level events, including invitation correspondence, site logistics, vendor negotiation, menu creation, taking RSVPs, production of nametags, preparation of RSVP lists, etc.

WHAT YOU WILL NEED:

EDUCATION/EXPERTISE:

* Associate's degree required; BA/BS degree, preferred.

* Minimum of 3 years of experience in office management.

* Proficiency with PC computers and standard applications (Microsoft Word, Excel, Access, and PowerPoint) is essential.

* Knowledge of Blackbaud Razor's Edge, Jenzabar, workflow, and/or CRM software is advantageous.

* Experience in non-profit or higher education organizations is desirable.

PHYSICAL REQUIREMENTS:

* Visual acuity to use a keyboard and view a computer terminal. Requires good hand-eye coordination, arm, hand and finger dexterity, including ability to grasp.

* May require ordinary ambulatory skills sufficient to visit other locations; or the ability to stand and walk.

* Ability to occasionally lift, carry and/or move light to medium weight up to twelve (12) pounds and/or exert up to twelve (12) pounds of force.
