Job Description:

Job Type Full-time Description Administrative Assistant Responsible for all HOA Administrative tasks, working with Project Manager, various other Whitebirch departments as well as owners and board members. Essential Duties and Responsibilities include the following: •Prepare all HOA notices and assist in their distribution to owners •Attend and assist in the preparations and scheduling of Board and Member Meetings. •Provide assistance including, when needed proxy collection, facilitation of elections and ensuring all annual approvals are appropriately completed and recorded in minutes •Transcribing and updating of meeting minutes •Assist with the management of HOA owner websites and ensure that they are updated regularly •Perform routine compliance walkthroughs with Project Manager and Board Members, keeping detail notes referencing maintenance and capital improvements •Act as a primary contact for owners to provide documents, answer questions and assist with transfer of ownership •Primary contact to Crow Wing County for the recording of various HOA sales documents •Provide assistance with requests from title companies, real estate agents, lenders and attorneys •Edit Board correspondence and documents accurately and in a timely manner •Participate in management meetings and presentations when requested •Handle confidential information with discretion and prioritize communication and workload •Code and process HOA contract and maintenance payments for credit cards and invoices as necessary •Other duties as assigned or requested Qualifications: High School diploma or equivalent required. The ideal candidate must be a self-starter, customer service oriented, have excellent verbal and communication skills, attention to detail, thoroughness and well organized. Professional appearance and conduct required. Dependability, strong work ethic and punctuality are a must. Candidate must be proficient in Microsoft, Excel, Word and Outlook as well as Real Estate Sales and Title Transfers.
