Position DetailsClassification Information UnitJob StatusFLSAPosition Information Position Title Administrative Assistant Reports ToFaculty Discipline N/A - Not Applicable Faculty is eligible for Tenure Track?Funding Source Functions and Responsibilities Job Summary Under the supervision of the Dean of Community, Continuing Education and Workforce Development or designee, the administrative assistant is responsible for performing tasks and activities related to the support and operations of the Community, Continuing Education and Workforce area.Supervisory Role Oral and written instructions are received from the Dean of Community, Continuing Education and Workforce Development or designee. The Administrative Assistant may supervise support staff or student workers.Duties & Responsibilities1. Responsible for daily activities, including the appointment and admission of visitors, office operations and communication, ordering of supplies and referral of inquiries to the appropriate areas.2. Provide assistance for administrative staff in the area to process forms and necessary reports.3. Assist with logistics, scheduling, checking of instructors, classrooms, computer labs and curriculum.4. Assist with selection and requisition of instructional materials, supplies, software, computer hardware and other related materials.5. Assist with maintenance of an area wide calendar to assist with planning and implementation of public events, student graduations and develop accompanying promotional materials.6. Assist with preparation of reports, support grant proposals and agreements with the various partners within the city, county, and state levels.7. Assist with the production of enrollment reports, class lists, course descriptions and serve on the CCE Non-Credit Curriculum Committee.8. Assist with the oversight for the preparation of contracts, billing and reports for funding reimbursements.9. Attend meeting and workshops related to the area programs.10. Prepare routine, special and ancillary reports as required.11. Perform other related duties as assigned.Physical RequirementsAdditional RequirementsMinimum Qualifications Experience (number of years), Knowledge and/or Abilities 1. Associates degree.2. Working knowledge of computer software applications, preferably the Microsoft Office suite of applications.3. Demonstrated ability to work under pressure, prioritize assignments and to exercise good judgment at all times.4. Excellent interpersonal skills.5. Ability to communicate effectively, orally and in writing.6. Ability to work in a multi-cultural environment.Education RequirementsLicenses and Certifications (including e.g., CPR, first aid, driver's license, etc.)Preferred Qualifications Experience (number of years), Knowledge and/or Abilities 1. Associate's degree in related area such as Business Administration.2. Prior administrative assistant experience.3. Familiar with academic database systems such as Ellucian Banner or Elevate.Education RequirementsLicenses and Certifications (including e.g., CPR, first aid, driver's license, etc.)
