Job Description:

We are looking for a dedicated and detail-oriented individual to join our team as an Administrative Assistant at our nursing home facility in Guthrie, OK. This role is crucial in supporting the facility's Administrator with the overall operations, ensuring the smooth and efficient functioning of the nursing home. If you have strong organizational skills, experience with office procedures, and a passion for helping others, we would love to hear from you! As an Administrative Assistant, you will:

  • Assist the facility administrator in overseeing the daily operations of the facility, ensuring compliance with the policies of the governing authority and the regulations of the Oklahoma State Health Department.
  • Prepare correspondence and utilize various software programs to record and report data.
  • Manage the billing process, including preparing billing logs, resident information, and handling accounts receivable.
  • Maintain accurate and up-to-date ledgers and send resident information to the appropriate offices, including collection letters for outstanding accounts.
  • Handle resident funds, prepare bank deposits, and assist with family and resident inquiries in the Administrator's absence.
  • Perform general office duties, such as filing resident and employee information, answering phones, and forwarding messages appropriately.
  • Maintain OSHA logs and information, ensuring compliance with safety regulations.
  • Coordinate employee orientation, including reference checks, criminal background checks, and facility tours.
  • Prepare payroll information and track staff certifications and licensees to ensure all records are accurate and up to date.
  • Support the Administrator with any additional duties as needed.
  • Maintain dependable and reliable attendance to assist in the 24/7 operation of the facility.
Desired Experience and Qualifications:
  • Strong computer literacy, including the ability to type, use a mouse, and operate other office equipment efficiently.
  • Excellent reading, writing, and communication skills (both written and oral).
  • Knowledge of regulations and common practices in a long-term care setting is preferred.
  • Ability to manage multiple tasks with a high degree of accuracy and attention to detail.
  • 1 year of long term care experience preferred
