POSITION SUMMARY: Under general direction, performs financial and budget-related activities, collaborates with transit programs, and conducts various other administrative duties to facilitate the daily operations of the Miami County Transit department. QUALIFICATIONS:Completion of secondary education and experience indicating a knowledge of modern office practices/equipment and demonstrable skill in typing and bookkeeping procedures, or equivalent combination. Must possess a valid Ohio driver's license. Ability to read and interpret documents, write routine reports and correspondence, prepare accurate and concise reports and record/maintain accurate documentation. Ability to effectively and professionally communicate, both orally and in writing, with the public, senior managers, employees and customers of the County. Ability to add, subtract, multiply, and divide, to solve mathematical problems in all units of measure, using whole numbers, common fractions, decimals and percentages. Strong interpersonal communication and teamwork skills, with the ability to maintain effective working relations with co-workers, customers and those contacted in the course of work. Proficiency utilizing Microsoft Office applications including Excel, Word, and Outlook; ability to operate other standard office equipment, including telephones, calculators, copiers, FAX machines, etc. DUTIES: Under general direction, maintains financial records using generally accepted accounting principles; assists in preparing summary sheets and maintains accounts payable file; receives payments, issues receipts, and reconciles cash to receipts and stubs; reconciles financial records with Miami County Auditor reports. Assists in compiling data for the Department's various grants. Develops and maintains effective rapport with program users, service provider, contracting agencies, and other entities as needed. Maintains and manages scheduling and billing manifest, makes recommendations for improvement and streamlining; assists in program development and public relations. Adheres to phone and out of office policies, but not limited to, checking the mail box and drop box daily and delivering mail on the same day; attends all applicable vendor shows and promotes transit along with applicable programs; participates in and facilitates Miami Valley Regional Planning Committee meetings; as directed; may be required to drive for work purposes (i.e., making deposits, picking-up mail, delivering documents to other County offices, etc.). Assist with monthly quality audits on Miami County Transit's service provider. Effectively and professionally responds to and resolves customer complaints in a timely manner. Correlates and processes rider applications for fare assistance cards; assists with application renewals; schedules, coordinates, and conducts on site interviews in order to determine eligibility for all Title XX applicants not receiving any income; performs all data entry and database maintenance for Miami County's JFS clients; works with JFS to have in depth understanding of JFS programs to ensure programs are properly administered; ensures that applications requested are mailed within 24 hours of initial request of client; ensures that applications returned for processing are normally completed within a 48 hour period; facilitates any necessary meeting in regards to the Title XX and other JFS programs and assists with educating groups on the program application process and benefits as requested; maintains rider confidential records and files. Maintains vehicle maintenance spreadsheet. Greets and screens visitors and telephone callers; answers routine inquiries; receives and sorts incoming mail; receives mail, stamps date of receipt and distributes to appropriate party; maintains vendor list; processes outgoing mail; relays incoming, outgoing, and interoffice calls; takes and/or forwards messages; notifies personnel of meetings or appointments. Provides administrative assistance to the department head and other team members as needed; requisitions office supplies; stocks copier area supplies; types meeting minutes; attends staff meetings and training seminars. Types correspondence, reports, technical and confidential material from rough written copy, dictation, or brief instruction; composes routine correspondence; responds to routine correspondence independently; proofs and corrects typed documents; responds to routine questions regarding Department functions; distributes and receives monthly reports; performs other related duties as assigned.
