Position: Administrative Assistant

Location: Daytona Beach, FL

Salary Range: $32,700.00+DOE

Employment Type: Full-Time, Non Exempt

Department: Administrative

POSITION SUMMARY

Greet and direct visitors and answer incoming telephone calls. Under general supervision, provide diverse administrative support to management including receptionist, clerical, and project-based work. Requires judgment and comprehensive knowledge of applicable operations. Demonstrate a professional agency image through in-person and phone interaction.

PRINCIPAL DUTIES AND RESPONSIBILITIES

* Answer incoming telephone calls and direct calls to the appropriate person/department; take messages as needed.

* Greet clients and visitors. Screen people seeking access to the offices.

* Book conference rooms inside and outside of the agency.

* Sort and distribute mail daily; prepare outgoing mail and packages.

* Perform other miscellaneous clerical duties, such as photocopying, faxing, filing, data entry, maintaining records, etc.

* Maintain adequate office supplies and keep office organized.

* Reserve car rental and travel for staff.

* Place purchase orders through Amazon and other vendors.

* Reconcile invoices and credit card statements.

* Maintain storage for children's belongings. Coordinate with outside vendor.

* Maintain various spreadsheets for tracking purposes.

* Support Staff in assigned project-based work.

* Participate in Safety Committee.

* Run errands and assist with special projects from the Executive Office Manager and Chief Officers as needed.

EXPERIENCE/PERFORMANCE REQUIREMENTS (Knowledge, skills, and abilities):

* Two years administrative support work experience

* Proficiency in Microsoft Office

* Ability to type 50-60 wpm.

* Ability to manage multiple tasks.

* Ability to maintain confidentiality of sensitive data.

* Ability to operate office equipment such as a copier, fax machine, multi-line telephone system.

* Good verbal and written skills

* Strong organizational skills

* Strong interpersonal skills

* Time management and organizational skills

* Ability to speak, read and write English at the college level.

* Previous work experience in a non-profit organization, preferred.

EDUCATION REQUIREMENTS

REQUIRED:

* High School Diploma or GED equivalent

LICENSES AND CERTIFICATIONS

* Possess a current Background Clearance Screening Letter as required by DCF; and successfully complete the background screening requirements for Community Partnership for Children.

PHYSICAL DEMANDS AND WORK ENVIRONMENT

Employee will work in an office/clerical environment. The employee will work seated with recurrent need to walk, stand, and bend from the waist. Occasional light lifting, stooping, and climbing may be required. Occasional local travel.
