POSITION OVERVIEWWe are seeking an Administrative Assistant in our Healthcare Investment Banking team of Ziegler's Investment Banking business unit. This is an important position with our firm providing administrative support to our Healthcare Investment Banking Senior Managing Director and his team in the Chicago office. The ideal candidate should have strong organizational skills, heavy calendar management and travel coordination experience, and executive support capabilities as well as skills managing multiple technological platforms. Responsibilities include, but are not limited to:
  • Coordinate an extensive travel and event schedule for bankers, including dinners, golf events and conferences
  • Provide heavy calendar management and call monitoring
  • Prepare, edit, print and bind PowerPoint presentations
  • Prepare, submit, and file copies of all expense account reimbursement requests
  • Take and distribute notes for weekly team update calls as requested
  • Prepare, format, proofread, and mail (or fax) documents, correspondence and memos
  • Maintain and update contacts in Salesforce and Outlook calendar
  • Coordinate team meetings as requested
  • Any other ad hoc administrative projects or tasks assigned
PROFESSIONAL QUALIFICATIONS:Ideal candidates should meet the following requirements:
  • Associates degree in related field required, bachelors preferred
  • 1-2 years of experience in a financial, consulting, accounting or marketing firm supporting a team of sales professionals
  • Excellent organizational and customer relations skills
  • Experience in Workplace, PowerPoint, Excel and Salesforce a plus
  • Experience with heavy calendar management
  • Excellent computer skills
  • Outstanding interpersonal, verbal and written communication skills and teamwork skills
  • Strong project management skills and attention to detail
  • A career-motivated professional who is self-confident, energetic, and possesses a superb work ethic
  • Demonstrates initiative and a strong desire to deliver efficient results in a fast-paced environment
