POSITION TITLE: Administrative Assistant

REPORTS TO: Chief Financial Officer

CLASSIFICATION: Non-Exempt

CareSTL Health is seeking an Administrative Assistant to join our team!! The Administrative Assistant will support the Chief Financial Officer by performing complex administrative activities that require independent initiative and excellent judgment. The highly visible position requires a

professional demeanor and working with high-level executives. This position is responsible for demonstrating the core values of CareSTL Health: Customer Service, Community, Commitment, Compassion, and Competence.

ESSENTIAL FUNCTIONS: The following information is considered the definition of essential functions but does not restrict the tasks that may be assigned. The Administrative Assistant may be reassigned duties and responsibilities at any time due to reasonable accommodation or other staffing reasons.

* Provide administrative support to assigned team members, which includes scheduling, meeting coordination, material preparation, data entry, making travel arrangements, and processing expense reports.

* Maintains up-to-date records, which include files, contact lists, and database entries.

* Schedules and calendars a wide variety of activities (e.g. appointments, meetings, travel reservations/accommodations, facility usage, etc.) for assigned team members, including but not limited to identifying scheduling conflicts and providing regular scheduling and updates to the team during weekly team meetings.

* Handles incoming phone calls, correspondence, and emails, identifying critical items for action and quickly prioritizing and initiating preliminary materials needed.

* Acts as a liaison with all internal and external clients/departments, including members of the board of directors and senior leadership, and is discreet and understands the personnel, organizational, and legal impacts of the information they handle.

OTHER DUTIES AS ASSIGNED:

* Assists the Accounting Department with daily deposits tasks and responsibilities

* Assist with the coordinating and implementation of the annual Board of Directors Retreat

* Prioritizes and routes incoming and outgoing mail and other documents

* Keeping abreast of important health-related policy issues on the local, state, and federal level

* Any additional duties as assigned

JOB REQUIREMENTS AND QUALIFICATIONS:

Education:

* High School Diploma or GED required

* Associates Degree preferred

* Bachelor's Degree highly desirable

Experience:

* A minimum of 2 -4 years of related experience preferred

Knowledge, Skills and Abilities:

* Good verbal and written communication skills.

* Must have the ability to type 45 words per minute accurately

* Knowledge of office procedures

* Knowledge of the use of dictating equipment

* Must have the ability to meet the public with tact and courtesy

* Must have the ability to follow oral and written directions

Transportation Requirement:

* Must have reliable transportation

Supervisory Responsibility:

* None

Additional Information:

Clinic hours are Monday - Friday 8 a.m. to 5 p.m.
