Administrative Assistant

Summary: To provide administrative support to the General Manager, Department Managers, and Sales Staff.

Essential Duties and Responsibilities (not in order of priority):

  • Answer and screen incoming calls and correspondence, and respond independently when possible.
  • Coordinates ordering of office supplies for departments and handle administrative duties as needed.
  • Sort, distribute, and process incoming mail.
  • Process truck sales and vehicle titles, and prepare other paper work as needed.
  • Handle onboarding of new hires by performing new hire orientations.
  • Code invoices as needed.
  • Acts as custodian of all documents and records.
  • Creates and maintains database and spreadsheet files.
  • Other duties as assigned.
  • Maintain regular on-site attendance.

Work Environment:

  • Ability to sit frequently and for long durations.
  • Occasionally exposed to fumes or airborne particles.
  • May be exposed to outdoor weather during event management.
  • The noise level in the work environment is usually quiet to moderate.

Physical & Mental Requirements:

  • Ability to regularly lift and /or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.

Education, Skills & Knowledge Required:

  • Associate's degree (A. A.) or equivalent from two-year college or technical school and/or training; three to six years related experience; or equivalent combination of education and experience.
  • Knowledge of Microsoft Outlook Contact Management systems; Microsoft Excel Spreadsheet software and Microsoft Word Processing software.
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to write simple correspondence.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent.
