Job Description:
Job Summary Client is seeking a motivated and proactive Administrative Assistant to join our team in Indianapolis, IN. The ideal candidate will support function leaders by managing calendars, coordinating travel, organizing events, and handling confidential information. The role requires proficiency in SharePoint, Excel, and PowerPoint, as well as the ability to work in a fast-paced, professional environment. Key Responsibilities
  • Manage calendars, schedule appointments, and arrange travel for function leaders.
  • Screen and prioritize incoming communications, including calls and calendar invitations.
  • Handle sensitive and confidential information with discretion and integrity.
  • Act as a point of contact for internal and external stakeholders to ensure smooth workflow.
  • Prepare and edit reports, presentations, and correspondence.
  • Organize and plan large meetings and events, including agenda development.
  • Manage expense reports.
  • Assist with large projects as needed and provide additional support to the Executive Assistant.
  • Coordinate and oversee special projects.
Required Qualifications
  • Education: High School Diploma or GED.
  • Experience: Minimum 1 year of experience in an administrative assistant role.
  • Proficiency in Microsoft Office Suite, particularly Excel, PowerPoint, and Word.
  • Must have experience with SharePoint.
  • Familiarity with Concur is preferred.
  • Excellent verbal, written, and interpersonal communication skills.
  • Strong organizational skills with attention to detail.
  • Ability to multi-task, prioritize responsibilities, and work effectively in a fast-paced environment.
  • Ability to handle competing priorities, meet deadlines, and maintain a proactive, positive attitude.
  • Comfortable working both independently and as part of a diverse team.
Preferred Qualifications
  • Experience supporting large teams (2-5 directly).
  • Proactive mindset and ability to work collaboratively with other onsite admins.
  • Comfortable with organizing large meetings and handling complex schedules.
Work Schedule
  • Must be onsite on Tuesday, Wednesday, and Thursday.
  • Flexible hybrid schedule, working in the office a minimum of 3 days per week.
  • Overtime may be required based on business needs.
