Job Description:
DescriptionThe AA/Receptionist position will provide administrative and reporting support for DHA staff, providing clerical support and communications for all functions of DHA administration.Minimum Qualifications
  • Five (5) years related experience.
  • Have a working knowledge and understanding of Microsoft Outlook, Excel, Word, Powerpoint, Adobe Acrobat.
  • This person will also need to possess excellent public relations skills and have the ability to work with people in all levels of the organization and be able to handle frequent interruptions and large numbers of
  • High School diploma or GED equivalent
  • Valid driver's license and insurance coverage
Essential Duties
  • Answer telephones and resolve complex caller needs (within broadly defined guidelines) without managerial oversight. Keep an updated list of the phone directory.
  • Greet all guests arriving at the DHA Stoneville office and direct as appropriate.
  • Receive, open, and date-stamp all project mail and packages and route to appropriate person.
  • Schedule FedEx shipments, including tracking and confirmation of shipments.
  • Serve as general administrative support for DHA staff.
  • Schedule all travel arrangements for DHA staff including meeting registration, flights, hotels, etc.
  • Back up for four Scholars in Residence cabins, including scheduling, invoicing, collections, etc.
  • Schedule meetings as directed DHA staff, including room reservation, material preparation, etc. Set up coffee, refreshments & literature for the meeting. Assist in preparation for Board meetings.
  • Provide support to all DHA and DHA staff.
  • Maintain calendars for DHA staff. Schedule events for the board room & conference room calendars.
  • Maintain an adequate quantity of office & breakroom supplies and special-order supplies as requested, including business cards
  • Confidentiality must be maintained.
  • Must have a valid driver's license.
  • Make employee badges.
  • Maintain a key logbook and inventory of keys
  • Other duties as assigned.
