The Administrative Assistant is responsible for collaborating with the Director of Career Education to support academic projects and initiatives. He/She performs administrative and office support activities for the department. Some travel may be required. This is a full-time position. Ability to work independently, typically 40 hours per week is required. Ability to maintain a professional home office without distraction during workday, typically 8-4 or as defined by the school. - Supports Director of Career Education and High School Principals with a variety of projects from start to finish.
- Prepares and composes internal and external correspondence with appropriate follow-up and prepared responsiveness.
- Reviews, organizes and maintains department and testing records while exercising the utmost confidentiality
- Assists in the coordination of standardized group and/or individual test administration; administers and/or coordinates academic, credentials/certification, entrance, psychological, and vocational interest testing
- Assists in the plans, developments, and coordination of program policies, procedures and schedules, and ensures adequate completion for the administration of examinations.
- Prepares materials for presentation using Microsoft Office, Google, or Canvas and other related tools.
- Plans, takes notes, and participates in department meetings ensuring that all required information is completed, delivered in advance and available for the appropriate parties.
- Organizes and plans department schedules, meetings, and conferences for the department; this may also include travel accommodations.
- Keeps a variety of department records, such as staff schedules, financial documents and other records. Collects and compiles data into final form for review of supervisor. Maintains a variety of spreadsheets.
- Maintains daily office calendars
- Enters data from various sources into the school systems databases and spreadsheets
- Occasionally performs in-office tasks when needed
- Creates and maintains customized reports tailored to specific compliance requirements in Career Education software systems.
- Performs additional tasks and responsibilities as assigned.
Supervisory Responsibilities This position has no regular supervisory responsibilities but may from time-to-time supervise one or more temporary employees who are engaged for a specific project. While not supervisory, this position requires the CTE Administrative Assistant to coordinate but not supervise others from across the school community. Minimum Required Qualifications
- Associate's degree in education, Business or related field AND
- Experience in an educational setting, project management or similar coordinating role OR
- Equivalent combination of education and experience
Minimum Required Skill Set
- Ability to work independently in a fast-paced atmosphere
- Excellent interpersonal skills to maintain positive, customer-oriented relations and rapport, including appropriate telephone etiquette and professionalism
- Ability to be proactive, follow instructions and make decisions with little supervision
- Maintain strict confidentiality regarding personnel files, personnel decisions, and questions and concerns that arise from parents or staff about school related matters.
- Familiarity with Microsoft applications (Word, Excel, Outlook, PowerPoint). Familiarity with Google applications desired. Familiarity with preparing reports from spreadsheets and databases desired.
- All clearances and background checks as required to work in a Pennsylvania public school

The noise level in the office is usually moderate (computers, printers, light foot traffic). This position will include limited travel and will include limited overnight travel.
