Administrative Assistant provides high-level administrative support to the Executive Director of Adult & Continuing Education and Business Engagement. This role involves managing a wide range of administrative support tasks to ensure the efficient operation of the division. This individual plays a crucial role in maintaining effective communication and coordination contributing significantly to organizational excellence.
* Serves as a liaison to administrative support staff in departments overseen by the Executive Director; provides assistance and support to department managers when needed.
* Coordinates and schedules various appointments and meetings; makes travel arrangements; reserves facilities for meetings; maintains and coordinates the Executive Director's calendar.
* Assists the Executive Director with maintaining and updating the divisions services, programs; as well as, procedure and policy changes. Assists with the creation and updating of course manuals, documents, policies, marketing materials and division-specific websites as needed.
* Assist with coordinating division specific events.
* Assist with the preparation of various reports;
* Provide customer service to students and business and industry constituents via telephone, email and in-person.
* Other assigned duties as assigned.
OVERALL PURPOSE AND RESPONSIBILITY:
The primary and most important overall responsibility of all employees is to provide service in a pleasant, helpful, and effective manner to our students and other members of the College community.Education Required:
Minimum Associate's Degree and 2 years' experience as an administrative assistant, sales associate or customer service associate. Relevant experience may be considered in lieu of required degree.
Experience Required:
A minimum of two (2) years of work experience, preferably serving a diverse group of people and providing support to a department leader. Demonstrated technology skills in Microsoft Office or Google Suite. Must be proficient in Excel (Sheets), and Word (Docs).
Skills/Abilities /Knowledge /Other Requirements:
Demonstrates understanding of the community college mission and practices an open-door policy. Working knowledge of coordinating services with multiple agencies, business, and educational partners. Excellent written, communication, organizational, and interpersonal skills required. Has basic proficiency in the use of Microsoft Office Suite. Exhibits strong skills in communicating verbally and in writing. Must have the ability to follow established protocols. Must possess a valid driver's license and have private transportation and the ability to work a varied schedule as needed. Demonstrates the ability to multi-task and work independently with limited supervision. Must be detail oriented.
INSTITUTIONAL EFFECTIVENESS:
Collaborates with department members and/or the Compliance, Assessment and Research team to support planning, assessment, data collection and reporting for continuous improvement of the college.
