We're currently seeking a highly motivated Administrative Assistant II to support dynamic operations in Los Angeles, CA.

Primary Function

As an Administrative Assistant II, you will perform a range of administrative, clerical, and data entry tasks, working in a high-volume, fast-paced environment. You will assist in maintaining executive schedules, preparing reports, and collaborating with senior staff on office expansions and internal moves, all while handling confidential matters with discretion.

Key Responsibilities

  • Perform routine and non-routine administrative tasks in line with established procedures.
  • Manage executive appointment schedules by planning meetings, conferences, and teleconferences.
  • Prepare, scan, fax, and bind documents, reports, and proposals as required.
  • Create and revise reports in spreadsheet, graphical, or narrative formats as directed.
  • Originate correspondence and reports, handling routine matters without requiring supervisor input.
  • Maintain general files and manage correspondence, phone calls, and mail distribution.
  • Coordinate office space and equipment needs, including computers and telephones.
  • Contribute to team collaboration and advance department goals.
  • Represent supervisor at project meetings as needed.
  • Handle any additional administrative responsibilities as required.

Qualifications

  • High school diploma (or equivalent) with 10 years preferred.
  • Proficiency in Microsoft Office Suite, particularly PowerPoint presentations.
  • Demonstrated keyboard proficiency and experience with MS Windows, word processing, spreadsheets, and databases.
  • Strong organizational skills and ability to work in a fast-paced, team-oriented environment.
  • Proven success in office administration and handling confidential matters with discretion.

Salary

  • $55,000
