Salary: $20.25 - $24.00 Hourly Location : Kaysville 84037, UT Job Type: Full-Time Job Number: 2324-00695 Division: President's Opening Date: 10/15/2024 Closing Date: 10/29/2024 11:59 PM Mountain General Purpose Performs a variety of administrative support and office support functions for the vice presidents. Duties include word processing, creating spreadsheets and presentations, filing, and handling basic correspondence. Assists with scheduling, project planning, process development, travel, research, and document management. Job Focus
  • Manage day-to-day office operations of the vice president's office.
  • Welcome guests and customers by greeting them, in person or by phone, and answering, resolving, or directing inquiries not requiring the personal attention of the vice president.
  • Make appointments, meeting schedules, and meeting arrangements including facilities, catering, and supporting resources.
  • Coordinates travel arrangements and event registration.
  • Ensure operation of office equipment and maintain supplies.
  • Provide technical writing, proofreading, meeting minutes, documentation, and create presentations to maintain consistency, accuracy, and professional representation of the College.
  • Provide project management and process development assistance.
  • Work efficiently and accurately on multiple projects with competing priorities and deadlines, and complete projects and initiatives in a timely manner.
  • Create and manage professional documents.
  • Demonstrate outstanding verbal, written, and interpersonal communication skills to simplify and contextualize information. Communicate clearly and concisely electronically, orally, and in writing.
  • Maintain current and advanced knowledge and skill of software products required for the position.
  • Mentor, provide leadership to, and coordinate with assistants and clerical support within the college.
  • Serves as backup to the Chief of Staff.
  • Provide back-up coverage in the absence of other assistants.
  • Maintain appropriate and strict confidentiality.
  • Perform other related duties as required.
  • Minimum QualificationsEducation and Experience
    • Requires a minimum of high school diploma or equivalent, plus one (1) year of specialized training in business office technology, plus three (3) years of progressively responsible office support experience.
    • An equivalent combination of education and experience may fill this requirement.
    Knowledge, Skills and Abilities
    • Must have highly developed skills in office support and procedures to include office management and scheduling systems, keyboarding (60 wpm), and operation of office equipment.
    • Must possess expert skill using Microsoft Word, PowerPoint, Excel, Outlook, plus document publishing using Adobe Acrobat Professional and creative skills in presentation development.
    • Must have skill and working knowledge of math and demonstrate etiquette, protocol, and professional discretion.
    • Must have strong verbal and written communication, organizational, professionalism, and customer service skills.
    • Attention to detail with the ability to manage multiple projects.
    • Demonstrated ability to be completely trustworthy and maintain high levels of confidentiality.
    • Strong interpersonal skills with ability to develop effective working relationships with supervisors, co-workers, students, and the public.
    • Must successfully pass a criminal background check.
