Job Description SummaryJob DescriptionIn this role, you will work with limited supervision, meet day-to-day short-term objectives, and provide direct support to the General Managers of Mobility Engines & Marine and potential other leaders. As the Executive Assistant, you will be responsible for:
  • Extensive / complex calendar management for the General Manager(s).
  • Manage end-to-end travel planning, including both domestic & international travel, arranging visas, etc.
  • Process expenses for GMs in a timely manner.
  • Manage and maintain documents & standard work cadences for GMs.
  • Maintain accurate distribution lists for the department.
  • Update department Org Charts & regularly upload into Admin Box folder.
  • Serve as department go-to for administrative inquiries/support.
  • Serve as department focal for distributing flow down, information & announcements.
  • Complete supplies ordering for organization (office supplies, coffee supplies, business cards, etc.)
  • Assist with scheduling conference rooms, catering, ad-hoc projects, customer visits, as needed.
  • Assist with department engagement event planning & execution.
  • Act as liaison across the matrix, partnering with other admins and departments as needed.
  • Organize monthly department meetings, including collecting materials from stakeholders and preparing PowerPoint presentations.
  • Interface with high profile customers and/or other Executive Admin's, including Military.
Qualifications/Requirements:
  • Minimum of 3 years of administrative support experience.
  • High school diploma or GED

  • Ability to juggle multiple high-priority assignments simultaneously.
  • Strong organizational skills and discipline to follow-through on commitments.
  • Ability to handle confidential information and use discretion.
  • Experience working in and navigating computer applications such as SSS, MS Office Suite, MS TEAMS, and Concur.
  • High emotional intelligence and a true team player.
  • Ability to learn and understands all policies, practices, and procedures.
  • Strong interpersonal skills and approachable personality.
  • Ability to work independently and to proactively solve problems.
  • Ability to pivot quickly to changing priorities and business needs.
