Job Description:
The Administrative Assistant I is responsible for providing phone and general administrative support, including filing and documentation, for local office. Duties will include a variety of administrative tasks, requiring excellent organization, time management and communication skills. The position will also include other support functions as assigned.Requirements
  • Assist project manager(s) with a variety of administrative tasks as assigned.
  • Receive all incoming calls in a professional manner, directing calls and messages as needed.
  • Assist with coordination of meetings and communications.
  • Create and maintain accurate, up-to-date files (paper and electronic).
  • May be required to attend project meetings and prepare clear, accurate meeting minutes.
  • Effectively communicate verbally and via email with project manager, engineers, employees, clients, etc.
  • Maintain field office equipment, supplies, and janitorial services as needed.
  • Act as liaison between field office, Headquarters, and other satellite offices.
  • Adhere to job-specific requirements of RockSol's quality standards and Quality Management System (QMS).
  • Other general administrative technical duties as assigned.
Minimum Qualifications:
  • High school diploma or equivalent required.
  • 1-2 years of administrative work experience.
  • Intermediate to advanced computer literacy with in-depth knowledge of Microsoft Office (Excel, Word, Powerpoint, Outlook, Office 365, OneNote).
  • Positive, effective oral and written communication skills with strong customer service orientation.
  • High attention to detail, ability to produce accurate, well-formatted documents.
  • Excellent organizational and time management skills.
  • Self-starter with a can-do attitude. Willingness to roll up your sleeves and assist with a variety of tasks, small or large.
  • Must maintain confidentiality and exercise professional discretion and integrity.
  • Valid driver's license with insurable driving record.
  • Flexibility and willingness to perform a variety of tasks to support field office.
  • Ability to multitask while under time pressure.
  • Demonstrated ability to learn/use various software programs (preferred).
Work Environment:Field or satellite office environment, frequent use of phones, sitting and typing at a computer workstation for extended periods. Moderate noise level.
