Job Description
The Administrative Assistant facilitates the efficient operation of the company by performing a variety of clerical and administrative tasks assigned by the Management Team.
Job Duties and Responsibilities
* Welcome and direct visitors and clients.
* Answer, screen and transfer phone calls. Ensure phone coverage when away from desk.
* Lead the accounts payable function.
* Assist with managing accounts receivable function.
* Assist with data entry and booking new orders.
* Manage company credit card program.
* Oversee company vehicle procedures including check-out, maintenance, inspections and record-keeping.
* Book domestic and international travel for employees.
* Positively and professionally communicate and provide information to co-workers and management.
* Maintain office and cleaning supplies inventory and coordinate maintenance of office equipment.
* Manage employee apparel website and track employee allowances for logo apparel and PPE.
* Plan and organize company meals and events.
* Receive, sort and distribute postal mail daily.
* Provide administrative support as needed to ensure efficient office operations.
Knowledge and Skill Requirements
* Excellent written and verbal communication skills
* Excellent organizational skills and attention to detail
* Fluent use of MS Word, Excel, PowerPoint, Outlook and QuickBooks
* Understanding of basic accounting principles
Required Qualification
* Minimum of an Associate's Degree in Business or related field or 3-5 years of experience in an administrative role
