We support Government and prime system integrators with engineering and management expertise. Allegient Defense helps clients with challenging Science & Technology, Engineering Acquisition, and Program Management Mission requirements. We are currently in search of an Administrative Assistant - Financial Management to support a government client. Essential Job Functions
  • Provide day-to-day office management
  • Create and edit internal and external correspondence, reports, and documents, ensuring correct grammar, format, and clarity in accordance with correspondence regulations, to include all DCSA OCFO standards
  • Initiate, develop, and implement administrative policies and procedures and provide records management services
  • Set up new files and prepare records for transfer or destruction in accordance with the following approved file plans
  • Assist the designated In and Out Processing Official with civilian employee in and out processing
  • Research and explain DoD, DCSA and internal office operational policies, procedures, and requirements
  • Establish and update data files and office materials
  • Maintain office calendars and coordinate and schedule internal and external appointments and meetings for the office.
  • Prepare time and attendance reports
  • Reconcile and record all incoming and outgoing real property equipment
  • Coordinate with the Senior leader, internal or external visitor(s), and DCSA Security on visitor access
  • Facilitate badge requests for any visitors arriving to the government's facility for meetings, training, and special events
  • Screen, receive, and greet visitors in a courteous and professional manner
  • Maintain government personnels attendance daily using the DCSA directorates' internal operating procedures
  • Conduct periodic inventory of durable and non-durable property
  • Assist in the monitoring of agency task management system, Microsoft teams, spreadsheets, and other means of tracking actions
  • Be responsible for the creation of a wide variety of often complex documents, including reports, spreadsheets, presentations, quarterly newsletters, program brochures, and the majority of any outgoing letters, memorandums, and other interoffice/interagency communications and corporate correspondence.
  • Review incoming documents/taskers for appropriate action with an emphasis on deadlines
  • Be responsible for correspondence management that includes intra-office communications.
  • Prepare and revise reports, letters, memoranda, statements, forms, and similar documents from handwritten or rough copy materials
  • Retrieve, receive, open, sort, and distribute original or copies of mail
  • Be responsible for inventory management of office supplies
  • Serve as the point of contact for conference room reservation requests and conference room-related questions
  • Coordinate miscellaneous support services requirements such as repair of office equipment, technical support, and custodial services
  • Prepare documentation, plans and assists with Safety Inspections and Self Inspections for assigned DCSA locations
  • Assist in preparing readaheads including preparations of materials
  • Assist in issuing building badges, and manages, and controls identification badges and key
Job RequirementsEducation Requirement
  • Associate's degree
Experience Requirements
  • 2-4 years of administrative work
  • Microsoft products and programs experience (MS Office)
  • Possess excellent and professional verbal and written communication skills and provide well-written, articulate responses to compliance issues.
  • Knowledge of the Joint Travel Regulation governing civilian government travel.
