Reporting to the Vice President, Business Operations, the Administrative Assistant, Business Operations will provide a high quality, comprehensive, accurate and broad range of administrative services, with full responsibility for all administrative and logistical functions and ensuring a professional interface, seamless communication and optimal coordination of activities for the Business Operations Department which includes functions of Accounting, Financial Planning and Analytics, Public Affairs and Communications, Procurement, and General Affairs.
Responsibilities
* Provide administrative support to the Vice President, Business Operations and their direct reports.
* Performs general administrative duties to include, but not limited to making travel arrangements; processing T&E expense reports; preparing vouchers and processing invoices and tracking expenses.
* Responsible for meticulous calendar management, including planning meetings, coordinating recurring events and communicating with multiple parties to schedule internal/external meetings.
* Follow-up when actionable items arise from meetings e.g. producing minutes and ensuring timely distribution of relevant documents.
* Performing additional duties and assigned projects to achieve overall business objectives,
* Maintains high level of confidentiality when handling sensitive information during the execution of departmental objectives.
* Perform paper-based or electronic document management systems and functions including filing, storing, archiving, accessing, copying, extracting, etc.
* Recommends prioritization strategies across a range of functional / corporate project-based work to meet departmental/organizational needs.
* Opens, sorts and distributes incoming correspondence, including faxes and email.
* Creates, updates and facilitates complex and busy travel itineraries of multiple individuals.
* Assists other administrative staff in scheduling and supporting meetings outside the specific department or area assigned.
* Creates, maintains, and enters information into databases.
* Schedules, plans, coordinates, and facilitates a variety of events and meetings (in-house and off-site, ad hoc and recurring) which may include internal and affiliate staff members, outside consultants and key opinion leaders; duties may include booking arrangements, purchase of food, supplies and handout material, if appropriate, and
* recording of action items
* Performs other departmental duties as assigned.
* Position is expected to be in the office location at a minimum of 2-3 days per week, or otherwise directed by supervisor.
Qualifications
* Minimum High School degree or certification
* Minimum of 5 years administrative experience supporting Senior Leadership, preferably with experience in a healthcare company/environment
* Knowledge of principles and practices of organization, planning, records management, and general administration
* Ability to prioritize work assignments.
* Competency in Windows, MS Office (Outlook, Word, Excel, PowerPoint), Adobe PDF, and other relevant computer software
* Experience in effective web searches using Google, Bing, etc. and accessing public websites for information gathering.
* Experience in using web-based software and applications.
* Effective interpersonal as well as communication skills, verbal and written.
* Excellent organizational and time management skills
* Exceptional attention to detail
* Ability to work independently with limited guidance and direction whether remotely or in the office.
* Ability to maintain a high degree of confidentiality.
* Good analytical and problem-solving skills
* Ability to operate standard office equipment, including but not limited to, computers, telephone systems, copiers and fax machines.

The salary range for this position is $60,000 - $72,000. Factors such as scope and responsibilities of the position, candidate's work experience, education/training, job-related skills, internal peer equity, as well as market and business considerations may influence base pay offered. This salary may be subject to a geographic adjustment (according to a specific city and state and depending on the role), if an authorization is granted to work outside of the location listed in this posting.
This position is eligible to participate in our annual Short-Term Incentive (STI) program. Specific information about the plan including eligibility rules and target, will be furnished upon hire.
