Job Description:

As an Administrative Assistant, you will be responsible for efficient calendar management and coordination for Directors and Sr Directors. Your role will involve scheduling meetings, organizing appointments, and ensuring optimal time management to maximize productivity. You will also handle correspondence, maintain organized files, and support various administrative tasks. Strong organizational skills, attention to detail, and the ability to prioritize in a fast-paced environment are crucial. Your proactive approach will contribute to seamless operations and help facilitate effective communication within the organization. This position is key in enabling leaders to focus on strategic initiatives while you manage their schedules and administrative needs.

Responsibilities:

  • Managing daily calendars for multiple executives, demonstrating flexibility and problem-solving abilities to adjust or prioritize schedules based on last-minute changes.
  • Arrange and reserve conference rooms, catering, audio/video and other essential services as needed for meetings and conferences.
  • Drive key team activities and events (such as all-hands meeting, team meetings, conferences).
  • Prepare professional business communication documents including memos, letters, and emails.
  • Build and maintain good business relationships with directors and administrative staff across the organization.
  • Promote a fun and team-oriented work environment.

Basic Qualifications:

  • Bachelors Degree.
  • 2+ years of Administrative Assistant experience.
  • 2+ years of experience in Google Suite or Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).
  • Proficiency in Google Sheets or MS Excel.

Preferred Qualifications:

  • 5+ years of experience as an Executive Assistant or Administrative Assistant in a fast-paced environment.
  • 3+ years of calendar management supporting multiple calendars.
  • Experience planning and managing time effectively.
  • Excellent written and verbal communication skills.
  • Excellent organizational skills.
