- Serve as a trusted support system to the executive offering reliable assistance in various capacities.
- Act as a liaison between the executive and internal/external stakeholders, ensuring smooth communication and coordination.
- Manage complex calendars, including scheduling meetings, arranging appointments, and proactively resolving conflicts.
- Prepare meeting materials, agendas, and presentations, ensuring the executive ais well-prepared and informed.
- Collaborating with the executive on travel arrangements, assisting with hotel accommodation and other travel logistics, to ensure efficient and hassle-free trips.
- Conduct research and gathering relevant information for the executive to support decision-making processes.
- Handle sensitive and confidential information with the utmost discretion and professionalism.
- Coordinating and facilitating cross-functional projects and initiatives involving the executive.
- Collaborate with other teams and departments to streamline processes and enhance efficiency.
- Assist with the preparation and follow-up of executive-level meetings.
- Manage and track expenses, ensuring accurate and timely reporting.
- Maintaining detailed contact lists for the executive.
- Creating, editing and proofreading various documents, including memos, reports, and correspondence.
- Anticipating the needs of the executive and proactively providing support and solutions
- Build positive working relationships with internal and external stakeholders on behalf of the executive.
- Take on additional tasks and responsibilities as assigned by the executives.
Must have:
- Minimum of 2 years' administrative experience
- Minimum of 1 years' experience supporting senior-level role
- Strong organizational, time management, and follow-up skills
- Strong communication skills, both written and verbal, with active listening abilities
- Experience with managing relationships at all levels of the organization
- Bilingual skills - Arabic & English preferred
- Ability to be onsite 5 days per week
