  • Serve as a trusted support system to the executive offering reliable assistance in various capacities.
  • Act as a liaison between the executive and internal/external stakeholders, ensuring smooth communication and coordination.
  • Manage complex calendars, including scheduling meetings, arranging appointments, and proactively resolving conflicts.
  • Prepare meeting materials, agendas, and presentations, ensuring the executive ais well-prepared and informed.
  • Collaborating with the executive on travel arrangements, assisting with hotel accommodation and other travel logistics, to ensure efficient and hassle-free trips.
  • Conduct research and gathering relevant information for the executive to support decision-making processes.
  • Handle sensitive and confidential information with the utmost discretion and professionalism.
  • Coordinating and facilitating cross-functional projects and initiatives involving the executive.
  • Collaborate with other teams and departments to streamline processes and enhance efficiency.
  • Assist with the preparation and follow-up of executive-level meetings.
  • Manage and track expenses, ensuring accurate and timely reporting.
  • Maintaining detailed contact lists for the executive.
  • Creating, editing and proofreading various documents, including memos, reports, and correspondence.
  • Anticipating the needs of the executive and proactively providing support and solutions
  • Build positive working relationships with internal and external stakeholders on behalf of the executive.
  • Take on additional tasks and responsibilities as assigned by the executives.
Must have:
  • Minimum of 2 years' administrative experience
  • Minimum of 1 years' experience supporting senior-level role
  • Strong organizational, time management, and follow-up skills
  • Strong communication skills, both written and verbal, with active listening abilities
  • Experience with managing relationships at all levels of the organization
  • Bilingual skills - Arabic & English preferred
  • Ability to be onsite 5 days per week
