What makes HABC successful is the dedication of its employees and its history of strong leadership.Position SummaryThe primary purpose of this position is to under general supervision an employee in this class performs responsible administrative and clerical support work for the area in which the incumbent will be employed. Work includes preparing correspondence, maintaining files and records, preparing contract documents, screening calls, typing correspondence, and coordinating the work of subordinate clerical staff. Performance of the duties requires excellent clerical skills, sound judgment, and the ability to act independently. All activities must support the Housing Authority of Baltimore City ( HABC or Authority ) mission, strategic goals, and objectives.Major Duties
- Maintains the flow of work within the office.
- Plans, organizes and maintains the daily routine in the office.
- Provides administrative support to the office. Work includes typing, reading, editing, processing information, and typing correspondence etc.
- Transcribes meeting minutes and types agenda; distributes back-up information and agenda.
- Inputs data into computer to generate status reports.
- Orders some supplies and materials.
- Attends meetings as necessary.
- Answers telephone inquiries from the staff, outside organizations, residents and the general public.
- Schedules meetings; answers telephone inquiries; types a variety of letters, forms, memos and other forms of correspondence for staff; creates, maintains, and updates various spreadsheets.
- Schedules telephone coverage and assigns typing projects.
- Maintains complex filing systems for ongoing files.
- Performs other duties as assigned.
Minimum Education, Training and/or ExperienceAssociate degree in Secretarial Science, Office Management, Business Administration or related field(s), preferred but not required. High school diploma is required. A minimum of 2 years of experience in administrative or responsible clerical work is required, and preferably including one year in a supervisory capacity. An equivalent combination of education, training, and experience may be considered. Special Requirements
- Possession of a valid Maryland driver's license.
- Must be able to be covered under the Authority's fidelity bond.
- Must be able to be covered under the Authority's vehicle insurance policy.
Other RequirementsYou must successfully pass a prescreening investigation, including employment and education verification. Probationary Period: This is a full-time permanent position. Upon employment, you will be required to serve a 6-month probationary period. FOR INTERNAL CANDIDATES ONLY: Current HABC employees who are on probation, whether due to initial new hire status (6 months) or promotion (3 months), will have the opportunity to apply for other roles within HABC once their probationary period is successfully completed.
