Position: Administrative Assistant
Location: Community Education
JOB DESCRIPTION: Perform office duties include, but are not limited to:
* Meet and greet all visitors entering the CommEd building in a friendly and professional manner.
* Receive and route incoming/outgoing email, mail and telephone calls.
* Monitor and answer the main entrance doors.
* Respond to daily attendance changes with urgency and accuracy.
* Respond to requests for information as needed for all Community Education programs.
* Register students and update accounts utilizing MyRec software.
* Process purchase orders as requested by the Administration Team.
* Responsible for purchasing and maintaining supplies for all Community Education programs.
* Distribute supplies to appropriate building staff and programs.
* Process all reimbursements and check for accuracy.
* Send monthly billing for tuition fees for all Community Education programs.
* Process payments for tuition fees, refunds etc, and process bank deposits.
* Facilitate communication with summer programs staff and organizing field trips with vendors.
* Prepare, process, and submit reports, create forms, send correspondence.
* Type and distribute bulletins, agendas, notices, and other communications as requested by the Administration Team.
* Establish and maintain files and records.
* Operate & maintain office equipment.
* Demonstrates cordial and professional communication with all school personnel, students, parents, vendors and the community in general.
* Participate as a member of the office staff and share duties as appropriate.
* Performs all other responsibilities as directed by the Administrative Team.
KNOWLEDGE & EXPERIENCE:
* High level of comfort with technology, including proficiency with data manipulation utilizing Microsoft Suite, Google applications, MyRec and Munis proficiency is a plus and will be a requirement component of training.
* Able to learn about registration and data reporting policies and procedures for all CommEd programs.
* Strong writing, verbal and analytical skills.
* Strong interpersonal skills including tactful and confidential communication.
* High level of detail-orientation and organizational skills, able to multitask and prioritize.
* Knowledge of office practices, procedures and use of equipment.
* Record- keeping techniques.
* Ability to change directions quickly in a busy office and school environment.
* Ability to work independently on various tasks.

Assistant Director of Community Education
TERMS OF EMPLOYMENT:
260 days/ 7.5 hours per day
