Job Description:
Summary Assists with daily activities of their supervisor by providing skilled secretarial, clerical, and administrative support by performing the following duties.Duties and Responsibilities include the following.
  • Reads and routes incoming mail. Locates and attaches appropriate file to correspondence to be answered by employer.
  • Maintains well-organized, usable files between Management, employees and the community; utilizes DocuTreev system to maximize efficiencies.
  • Answers and screens supervisor's telephone calls.
  • Maintains calendar and independently schedules appointments for supervisor.
  • Greets scheduled visitors and conducts to appropriate area or person.
  • Maintains confidential and general files for supervisor.
  • Assists customers, both internal and external, with questions, concerns and problems and provides excellent customer service for all requests.
  • Conducts research as requested by supervisor.
  • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, meals, records and transcribes minutes of meetings, etc.
  • Prepares informational documents for regulatory requests and handouts for meetings and presentations.
  • Executes a wide variety of correspondence such as letters, memos, faxes, reports and spreadsheets from notes and oral instructions as needed for supervisor.
  • Maintains office supplies and equipment, including keeping printers stocked with paper daily.
  • Performs duties specific to the position as defined and outlined by the specific department procedures.
