Duties
The position is the Administrative Assistant to the Director as well as Board Secretary.
* Normal working hours are 7:30 a.m. to 4:00 p.m..
* Greet and assist all visitors, staff, and students in a professional manner.
* Answer and screen telephone calls to provide information, take messages, and/or route to appropriate individual/office; respond to inquiries independently when possible and appropriate.
* Work with faculty for their supply needs
* Manage incoming /outgoing staff and student requests.
* Correspond with other schools to obtain and/or provide needed information regarding the students.
* Responsible for opening and closing the vault daily.
* Maintains Activity Fund and Imprest Fund for the Center.
* Responsible for preparing banking deposits for General Fund, Imprest Fund, and Activity Fund.
* Responsible for reconciling Imprest fund and Activity Fund.
* Prepares monthly reports for Imprest Fund and Activity Fund and any other information necessary for the Board of Control meetings.
* Responsible for creating and distributing Board Packets for all regular meetings of the Board of Control.
* Responsible for recording minutes at all regular meetings of the Board of Control.
* Works directly with Bookkeeper in regards to changes in employees' benefits and payroll information.
* Responsible for keeping records of employees' vaction, sick, and/or personal days as allotted and updating the bookkeeper with this information.
* Responsible for maintaining a daily employee attendance log.
* Responsible for maintaining employee personnel files.
* Responsible for working with Center insurance plans.
* Assists in providing all necessary information as requested by auditors.
* Participates in any other duties as assigned by the Director.
* Responsible for collecting and maintaining high school student records and attendance and using the data to complete local billings and state and federal claims for financial reimbursement to the Center
* Assists the Director with the school lunch program applications and maintains records to complete the monthly report for reimbursement.
* Keeps the Head Cook up to date on which students receive free or reduced lunches.
* Maintains records for high school students for collection of tuition and textbook fees.
* Posts fees and payments for tuition and textbook fees for high school students and process fee waivers.
* Generate tuition report for two hour vocational students and send the home schools of the students
* Responsible for writing receipts for all incoming monies.
* Responsible for preparing all bank deposits for the bookkeeper.
* Other duties as assigned by the Director.
Qualifications
* High school graduate including courses in secretarial skills and general human resource practices.
* At least 2 years experience in secretarial or accounting field or demonstrated competence in the tasks assigned.
* Demonstrated competence in the use of computer applications.

Salary/Benefits
Salary to be determined based on experience. Board paid retirement. Board paid portion of health insurance. Supplemental health insurance available. This is a 12 month position with paid sick leave, vacation, and personal days in addition to 13 paid school holidays.
