Position Summary
The Administrative Assistant primary function is to assist with daily administrative duties to include basic telecommunications, report circulation and interaction with corporate team, technical staff and clients for the office in which they reside.
Job Responsibilities:
* Answer phone calls and take clear and concise messages
* Ensure the office space is well-organized, clean, and equipped with necessary supplies.
* Ensure printer/copier is equipped with paper and toner
* Ensure outgoing mail and UPS/ FEDEX packages are taken each day and collect and distribute incoming mail
* Preparation and completion of various inspection documents as assigned by project managers
* Basic understanding of company software and ability to set up new clients/ projects
* Filing of basic office documentation
* Provide support to technical and corporate staff as needed
* Basic preparation of letters and other reports as assigned by technical personnel
* Distribution of reports to clients and regulators
* Assist Human Resources with new hire set up
* Perform other tasks as assigned.
Job Qualifications:
* High school diploma or equivalent
* Proven experience in administrative or office support roles.
* Strong organizational, problem solving and multitasking skills.
* Excellent written and verbal communication abilities.
* Proficiency in Microsoft Office Suite and other relevant software.
* Knowledge of basic accounting and budgeting principles is a plus.
* Familiarity with office equipment and technology
* Strong ability to work collaboratively with corporate team and technical personnel
* Team player with a positive and approachable demeanor.
Work requirements:
* May require the ability to sit for long periods of time, stand, walk, and manipulate (carry, lift, move) light to medium weights of 10-30 pounds.
* Ability to walk construction job sites and climb ladders is necessary.
* Requires good hand-eye coordination, arm, hand, and finger dexterity, including the ability to grasp, and visual acuity to use a keyboard, operate technical equipment, read technical information and to analyze complex data.
* Occasional travel to offsite locations to perform work and work- related errands or to attend meetings may be required.
