About the Role:U.S. Pipe is seeking an Administrative Assistant to join our team. This person will perform a range of administrative, clerical, and support duties (for the Quality Manager and Supervision) relating to the Quality Management System (QMS).Specific Responsibilities:
- Create, edit, and distribute certifications, reports, charts, graphs, presentations, etc. (requires a proficient ability with Microsoft Excel, PowerPoint and Word formatting, familiarity with Access).
- Prepare and maintain data, information, reports, etc. on ERP and in multiple server locations.
- Maintain and help continuously improve the filing, posting, communication, and Microsoft Excel file systems.
- Frequently review the systems to ensure accuracy, consistency, and connectivity throughout the QMS.
- Process Document Change/Revision/Removal Requests in a timely fashion.
- Processing includes preparing and sending master documents to submitters, proof-reading and editing revisions made to master documents, obtaining approval for revisions, maintaining revision history, and creating, posting, and archiving documents.
- Communicate regularly with department managers/supervisors and other pertinent personnel to obtain data and information required by the Quality Manager.
- Process internal audit report data and information.
- Ensure 3rd party certifications are accessible on the server and posted in relevant areas.
- Attend audits to obtain any information needed by the auditing party, both internal and 3rd party.
- Meticulously maintain QMS document master and PDF active and archived files by ensuring file naming conventions are strictly followed and directory naming and structure are correct and consistent throughout the QMS.
- Help Quality Supervision place orders as needed. Assist in planning and organizing Plant tours.
Qualifications:
- Minimum 1 year Administrative experience.
- High school diploma required with proven experience in an administrative support role.
- Have a working knowledge of professionally acceptable office practices.
- Exercise good judgment and communicate with others effectively and professionally.
- Proficient utilizing Microsoft Office and various computer software programs.
- Positive attitude, organized, and able to handle multiple tasks and projects.

- Work in an office environment with frequent exposure to plant and outside environment.
- Perform the following actions: standing, walking, balancing, bending, reaching, talking, seeing, hearing, and sitting.
- Most of the time will be sitting.
- Frequent computer use.
