Overview:
The Administrative Assistant is responsible for providing financial through accurate and efficient invoice coding in work orders and for assigned personnel.
Responsibilities:
- Use of SAP financial software and the general ledger account structure
- Maintain strong relationships with vendors and internal personnel to ensure efficiency and accuracy on payments
- Provide assistance to internal and external customers concerning invoices, data management, and other audit inquires
- Work with the water logistics coordinators and other teams to ensure water hauling and disposal are being managed appropriately
- Assist and support operations teams as needed in water transportation
- Maintain simple databases or use spreadsheets to conduct reviews of various data points.
- Complete special projects as assigned
- Collect and record hard copy paper data from the field into electronic systems.
- Create and submit work orders, POs, and notifications
- Follow all company procedures and established guidelines
- Manages/creates complex spreadsheets/documents in Microsoft Office Suite including Excel, Word, PowerPoint.
- Exhibit professional demeanor with all phone, email and correspondence exchanges.
- Advanced communication skills (verbal and written) including proficiencies with spelling, grammar, and punctuation.
- Ability to keep neat and accurate records.
- Ability to read, write and speak in English and in Spanish.
- Must have the ability to maintain composure under pressure.
- Understanding of importance of safe work practices.
Qualifications:
- 2+ years administrative experience required, oil & gas operations knowledge a must.
- 1+ years of experience with SAP software.
- High school diploma or GED equivalent.
- Ability to work effectively in a team environment as well as by self without direct supervision.
- Candidate must reside within a 45-mile radius of the job site.
- Must be able to pass all conditional job offer requirements including background check, drug screening, hair follicle, MVR, agility, fit for duty.
- Physical Requirements -Utilizes multi-limb coordination and flexibility combined with control precision to perform fine motor skills including finger manipulation, grasping, feeling, arm-hand steadiness, in order to push, pull, or lift objects. Exerting up to 10 pounds of force occasionally to lift, carry, push, pull, or otherwise move objects, including the human body. Work involves sitting most of the time but may involve walking or standing for brief periods.
