This role is in-person at our Headquarters in Downtown Austin. We're open to Junior and Senior level college students or recent graduates who could maintain 30 hours or more of work consistently and are looking for an exciting opportunity. 2 or more years of Administrative experience is preferred, this could be previous experience as a receptionist, office manager, personal assistant, or administrative assistant.Qualifications:
- Bachelors in Business Administration, Business Management, or Communications
- Must be proficient in Google and Microsoft Suite
- Experience with a CRM, preferably Hubspot
- Familiarity with productivity and note-taking software (Notion for example)
- Familiarity with scheduling and calendar management
- Familiarity with ordering and managing office supplies
Responsibilities:General Office Duties
- Manage and order office supplies
- Maintain a clean and organized office environment
- Ensure office equipment is functioning properly
- Ensure new and current employees have supplies and equipment they need
- Assist with office moves and reconfigurations
Client Services:
- Prepare the office for client visits, including meeting room setup
- Greet and welcome clients upon arrival
- Work with Executive Assistant to plan for client meetings
- Event planning as needed
Administrative Tasks:
- Track and manage office expenses
- Maintain accurate records and files
- Assist with HR tasks, such as onboarding new employees
- Manage incoming and outgoing mail and packages
- Calendar and inbox management support as needed across leadership team
Security and Access Control:
- Oversee and manage the office access control system
- Monitor and maintain security protocols
- Track and manage visitor access and sign-in procedures
- Assist with emergency preparedness and response planning process
- Identify opportunities to streamline and improve office processes
- Assist operations team with projects and key initiatives around process improvement
- Assist in the development and implementation of new administrative procedures
