Job Description:

We are looking for an organized and detail-oriented Administrative Assistant to support our executive team. This role requires someone who can manage complex calendars, coordinate travel plans, and handle a variety of administrative tasks with efficiency. The ideal candidate will excel at multitasking, possess strong communication skills, and maintain a high level of professionalism when interacting with clients, team members, and external vendors. Compensation: $65,000

Remote Fridays

  • Calendar Management: Manage and coordinate a busy calendar, including appointments, travel arrangements, and event schedules. Prioritize and adjust as needed to maintain smooth operations.
  • Travel Coordination: Organize domestic and international travel, including arranging transportation, accommodations, and meeting schedules.
  • Communication Support: Act as the main liaison between executives and internal/external parties. Draft and manage correspondence as needed.
  • Meeting Coordination: Schedule and organize meetings, prepare agendas, take notes, and follow up on action items to ensure ongoing project progress.
  • Project Assistance: Help track project deadlines, milestones, and deliverables, supporting multiple projects simultaneously.
  • Document Organization: Maintain organized files and records. Assist with preparing reports, presentations, and other project materials.
  • Event Support: Aid in the planning and execution of events, including logistics and coordination for company or client activities.
  • Onsite Event Support: Travel to 8-10 events each year, providing in-person support to executive teams. Assist with logistics for meetings, dinners, and transportation as needed.

Qualifications:

  • Proven track record as an administrative or executive assistant.
  • Exceptional organizational skills and attention to detail.
  • Strong written and verbal communication abilities.
  • Skilled in handling multiple priorities with discretion and professionalism.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to travel for 8-10 events annually.
  • Event coordination experience is a plus.
