INTRODUCTION: CONTEXT AND MISSIONThe Cleveland Metropolitan School District (CMSD) serves approximately 37,000 students in 100+ schools. The principal has primary responsibility and accountability for establishing his or her school as a high-quality, high-expectations academic center with a focus on personalized instruction, professional support for teachers, and school-wide practices that lead to measurable results.The Cleveland Metropolitan School District has developed standards of excellence that the district applies to all parts of the organization inclusive of schools, principals, school leadership teams, networks, and central office. THE OPPORTUNITY: Location: Administration or As AssignedReports to: Executive Director, Special Education and Intervention ServicesFLSA Status: Non-ExemptSalary Band: 11Compensation: $40,800.00 - $57,120.00We seek to hire an administrative assistant to provide high-level administrative support by handling information requests and performing various functions, including handling and processing purchasing and legal documents, writing correspondence, receiving visitors, arranging conference calls, scheduling meetings, and managing calendaring and scheduling. This role must be able to handle a wide range of executive, support-related tasks in a fast-paced work environment and to work independently with little or no supervision.
Responsibilities- Exhibits good customer relations skills in answering phones, screening and responding to inquiries and requests from district officials, parents, students, media and other external customers
- Responsible for heavy calendar management, scheduling and arrangement of meetings/appointments for the DCOA, and preparation of agendas for meetings
- Able to handle basic correspondence without supervision, including memos, letters and electronic transmissions to internal employees and external customers on behalf of the DCOA
- Manages and maintains departmental budget(s) as dictated by DCOA
- Responsible for organizing and supporting the day-to-day activities of the DCOA to ensure efficient office operations
- Screens and handles incoming and outgoing electronic communications on behalf of the DCOA
- Maintains confidentiality of information which would have immediate negative impact on the district, performance, perceived value if shared beyond its intended audience.
- Assists with preparation of background documents and materials for DCOA presentations and with review and summarization of reports and documents
- Arranges travel schedule and makes reservations for DCOA
- Maintains weekly time-off calendar for division staff; ensures accurate reporting to payroll department of staff work schedules
- Assists with updating division information on CMSD website as needed
- Operates a variety of office equipment
- Implements District and/or Board of Education policies and procedures
- Performs all other duties as assigned
Qualifications- 3+ years' experience in a position of support for administrators at the senior level or higher
- High school diploma or GED required, Bachelor's degree preferred
- Detailed knowledge of CMSD organization, organizational procedures, and personnel preferred
- A personal sense of accountability around the ultimate success of CMSD transformation
- Entrepreneurial energy and focus on the ultimate goals of CMSD
- Ability to perform multifaceted tasks concurrently with minimum supervision
- Ability to maintain a professional manner when interacting with Cleveland Metropolitan School District staff, external colleagues, and the public
- Demonstrated proficiency and experience in using various Microsoft Applications, including Word, Excel, Access, and PowerPoint; ability to manage databases in Access (mailing lists) and to prepare and edit a basic PowerPoint presentation.
- Excellent research skills (including Internet research), written and verbal communication skills; demonstrated interpersonal skills and proficiency in business vocabulary to effectively represent the DCOA and the district to outside parties
- Excellent decision-making skills to respond to high-pressure situations
- Demonstrated time management skills to plan, manage, and coordinate DCOAs activities and major functions
- Ability to work well under pressure
