Position: Administrative AssistantClient Support Assistant

FLSA Status: Non exempt, hourly

Salary: $18-22/hour

Supervision: Operations

Business Hours: Monday -Thursday 8:30-6pm, Friday 8:30 am to 12:30pm

Position Description: We are looking for an Administrative Client Assistant to help facilitate client paperwork, gathering insurance information, taking referrals and assisting in getting all preliminary information for client services. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. This position would assist the Project Evaluator with reviewing insurances, reviewing client charts to ensure insurances are up to date, correct and client files are up to date and correct. This position will be required to cover the receptionist while at lunch, vacation or sick . This position requires an organized, detail-oriented person that can multitask. Previous experience as a Front Office Manager or Office Administrator would be an advantage. This position should have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties.

ESSENTIAL FUNCTIONS AND KEY RESPONSIBLITIES

Take all referral calls and gather all necessary information for a referral

Schedule intake appointments for care coordinator, CADC and medical

Monitor and update all insurance information to ensure accuracy for billing

Complete client intake paperwork before client meets with intake coordinator

Cover front desk duties as needed (answer phones, check in clients, schedule clients, etc)

Review client charts to ensure all necessary documentation is in each chart.

Email CMA with needed prior auth information (shared spreadsheet)

Other duties assigned by supervisor.

QUALIFICATIONS EDUCATION/CERTIFICATION:

  • Bachelors degree in human services, administration preferred
  • Will accept AA with 2 or more years experience in administration, client support

SKILLS/EXPERIENCE REQUIRED

  • Strong clinical skills
  • Experience working with individuals with mental health/ behavioral health
  • Attentive to detail
  • Excellent communication and customer service skills
  • Experience in administration and business
  • Strong organizational skills
  • Proficiency with Microsoft Programs
  • Strong oral and written communication skills.
  • Knowledge of office administrator responsibilities, systems and procedures
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Hands on experience with office machines (e.g. fax machines and printers)
  • Excellent time management skills and ability to multi-task and prioritize work
  • A creative mind with an ability to suggest improvements
