47,632 - $59,539 annual compensation

The Property Management Department (PMD) is seeking to fill an Administrative Assistant position to provide excellent customer service and routine human resource, fiscal and administrative support to the daily operations of the General Services Division.

PMD is a large, fast paced, and rewarding department that is responsible for a wide array of services including: maintenance of the majority of City facilities, maintaining the City's fleet, land and property acquisitions including right-of-way and easement acquisitions. The Administrative Assistant will be responsible for providing direct support to all divisions of the Department including General Services, Real Estate, Facilities Maintenance and Fleet Division.

The ideal candidate will be required to communicate with third-party agencies and respond to internal and external customers to provide support in all human resource management tasks during the daily operations, as well as perform a wide variety of clerical tasks for other staff and management. The ideal candidate will be an exceptional communicator and collaborator who can build a high level of trust and effective relationships with all staff levels across the department.

Minimum Qualifications:

* Associate's degree from an accredited college with major course work in Business Management, Public Administration, Business Administration or related field

* Four (4) years of clerical and administrative experience

Preferred Qualifications:

* Strong customer service skills including effective written and verbal communication and documentation skills.

* Three years of experience with human resource coordinator and medical records coordinator activities.

* Working knowledge of PeopleSoft Human Capital Management and Payroll systems.

* Intermediate to advanced skills in Microsoft Office products (Outlook, Word, Excel, and PowerPoint).

* Experience with different types of governmental purchase mechanisms such as credit cards, one-time payments, purchase orders, and contract purchases.

* Experience with CFW Public Information Request portal.

* Bilingual/Spanish preferred.

* Must possess the ability to demonstrate customer focus, teamwork and be adaptable to a rapidly changing and fast paced work environment.

The Administrative Assistant job responsibilities include:

* Assist the department as a human resource coordinator and medical records coordinator.

* Assist departmental recruitment, prepare on-boarding meetings for new hires and ensure new hires are trained in time entry.

* Assist with all payroll/timekeeping to ensure employees are compensated in an accurate and timely manner based on hours worked.

* Work with management and partner with Human Resources Department staff to ensure proper processes are adhered to for recruitment, terminations, disciplinary actions, Family Medical Leave and Worker's Compensation cases.

* Prepare weekly reports for turnover, absenteeism, Family Medical Leave, disciplinary actions and other pertinent HR information. Research, interpret and analyze data collected and make recommendations, as needed.

* Assist during employee out-processing, and ensure all City property is returned in a timely manner.

* Provide staff support including serving as backup for other staff positions in their absence and performing related duties as assigned.

Physical Demands

Sedentary Work - Depending on assignment, positions in this class typically exert up to 10 pounds of force occasionally, a negligible amount of force frequently, and/or or constantly having to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
