Under general supervision, provides administrative assistance to the Regional Office, Executives, Stores, and/or Corporate Departments. Provides attentive support for internal and external parties and ensures consistent, efficient operations. Performs the role in a professional, courteous, proactive, and organized manner. Embodies IOOGA (Integrity, Our People, Our Customers, Growth and Attitude).Essential Duties and Responsibilities:Mentors Administrative Assistant IProvides administrative support to ensure efficient operation of the RegionAssists Office Manager in planning all regional eventsOrganizes activities such as meetings, travel, trainings, and conferencesDelivers high quality work, effectively and efficiently, while providing exceptional customer serviceDisplays broad understanding of Company CultureStays current on the latest industry technologies, trends, and strategiesDevelops and updates administrative processes to make them more efficientAssists in the reconciliation of employee timecard informationProcesses required Human Resources paperwork for employee transfers, changes in job classification, pay increases, and other related employment mattersAssists with preparation of Human Resource / Payroll reports such as, but not limited to: timecard audits, training completions, and turnover reportsProvides administrative onboarding support for new hires, including but not limited to, drug test and background checks, ATS, and WorkdayEnsures operation of equipment by completing preventative maintenance requirements, calling for repairs and maintaining equipment inventoryMaintains office supply inventory by checking stock to determine inventory level, anticipating needs, and placing ordersServes as a contact for internal and external customersMaintains solid customer relationships by handling questions and concerns with professionalismComposes, prepares, analyzes, and distributes confidential correspondence, memorandums, reports, spreadsheets, and other documents as requestedAnswers and screens incoming calls and arranges conference calls with a professional demeanorMaintains employee files in our system of recordOpens and routes incoming mail and packages; and prepares outgoing mail/dispatchRepresents Company values professionally in the community and at public gatheringsOther duties as assignedQualifications:This position requires a minimum of three years of recent administrative experience in an office environment. Human Resource experience is preferred. Workday and Kronos experience highly desirable.Advanced level computer experience, including a high level of proficiency in Microsoft Office Suite programs (Outlook, Excel, Word, PowerPoint, etc.) is necessaryExcellent communication, critical thinking, organizational, detail-oriented, and problem-solving skills are required with a can-do attitude, and the ability to adjust to changing requirements are essentialMust be able to demonstrate a proactive understanding of manager's needs, preferences, and schedules to provide support.The ability to work efficiently under pressure, accurately meet deadlines, present a professional demeanor, and work well independently is essentialMust be able to uphold a high standard of integrity and discretion and tactfully handle high-level confidential mattersCustomer service skills, including the ability to manage and respond to different customer situations while maintaining a positive and friendly attitude are essentialMust be familiar with Company operational guidelines, practices, processes, and cultureAbility to quickly build relationships across the organization is crucialThe ability to work within a team and serve as a trusted expert for assigned duties is crucialAbility to prioritize incoming requests appropriately while remaining flexible to the many changes that could occur during a day is essentialAbility to grasp a high-level overview of the organization to make confident decisions regarding operations is necessaryMaintaining confidentiality, treating others with respect and upholding Company values is keyEducational Requirements:This position requires a high school diploma or GED.
