Job Title: Administrative Assistant
Job Description
The Finance Admin Assistant is responsible for receiving each deal to ensure that all necessary documentation is included.
Responsibilities
+ Input deal information into the computer.
+ Print state and insurance paperwork.
+ Ensure customer signs all paperwork.
+ Collect money from customers if applicable.
+ Escort customers to the waiting area.
+ Prepare and forward contracts to the Finance & Insurance Manager for appropriate signatures.
+ After the deal is bought by a financial institution, return the deal for proper processing.
+ Process paperwork to be forwarded to the Title Clerk.
+ Make copies of paperwork and distribute to the appropriate individuals.
+ Prepare and process all bank papers to be sent via Airborne Express.
+ Forward deals to the General Sales Manager for review.
+ Make follow-up calls to banks to verify when funding can be expected based on the CIT list.
+ Obtain information required to complete the funding process if necessary.
+ Prepare documentation to report the number of cars sold.
Essential Skills
+ Proficiency with Microsoft Office
+ 2+ years of experience in an administrative support role
+ Strong people/customer service skills
Additional Skills & Qualifications
+ Ability to read and comprehend instructions and information, both written and oral
+ High School diploma or equivalent
+ Experience in the use of computers and creating spreadsheets
+ Understanding of accounting and profit margins
+ High degree of customer service and interpersonal skills
Work Environment
Office environment. The role is based in the back office with the rest of the Finance and Insurance team. The schedule will be 9-5 for two weekdays, 12-8 for two weekdays and Saturdays 9-5. The dress code is business casual.
Pay and Benefits
The pay range for this position is $20.00 - $23.00
