We are looking for a professional Administrative Assistant to provide comprehensive support to our staff. This role includes reception duties, answering and directing calls, greeting employees and visitors, scheduling conference calls, distributing mail, coordinating catering for meetings, and maintaining office inventory.
Responsibilities
+ Provide professional administrative support for all staff.
+ Answer and direct telephone calls, deliver messages, and greet employees and visitors.
+ Distribute and collect visitor building access cards.
+ Schedule conference calls and manage incoming and outgoing mail.
+ Coordinate catering for meetings and maintain conference rooms and kitchen areas.
+ Update office inventory supplies and coordinate with local building management.
+ Address general inquiries from visitors and employees.
+ Type, revise, and combine materials such as correspondence, reports, records, forms, meeting minutes, and technical material.
+ Proofread and edit documents for grammar, spelling, punctuation, and formatting.
+ Complete word processing and database administration tasks, including letters, memos, reports, shipping labels, and Excel spreadsheets.
+ Arrange travel and support miscellaneous engineering staff tasks and administrative projects.
Essential Skills
+ Excellent verbal and written communication skills, including grammar, punctuation, proofreading, spelling, telephone, and interpersonal skills.
+ Proficiency with MS Office, including Word, Outlook, and Excel.
+ Strong grammar and proofreading ability.
+ Ability to read and assist with reports, filing, and data entry.
+ Excellent computer skills.
+ Ability to independently multi-task, prioritize assignments, and take direction from staff.
+ Self-motivated, well-organized, detail-oriented, reliable, punctual, and a strong communicator.
+ Ability to handle confidential information.
Additional Skills & Qualifications
+ High School diploma or equivalent; AS or BS preferred.
+ 1-3 years of relevant experience in a professional office environment.
+ Flexibility and ability to prioritize and handle multiple tasks in a fast-paced, multi-discipline environment.
+ Commitment to being an active participant in our employee-owned culture.
+ Prior administrative experience with a civil engineering consultant or architectural design firm preferred.

Pay and Benefits
The pay range for this position is $25.00 - $26.00
