Job Description
The Administrative Assistant (10 months) provides essential communications and coordinating activities that ensure the smooth day-to-day operation of the School. This is a public-facing position that requires excellent interpersonal and communication skills. As the initial and central contact point for all visitors and incoming communications, the successful Administrative Assistant must be conversant in all school policies, positions, and events. The Administrative Assistant makes judgments on prioritizing and routing of communications and must be capable of providing clear direction in cases where urgent action may be required.
DUTIES AND RESPONSIBILITIES:
* Greets and directs visitors
* Generates daily substitute list
* Arranging and scheduling substitute and temporary employees for the school
* Greets substitutes and assists with directions and questions
* Responsible for implementing and maintaining all office and school recordkeeping systems
* Creates and maintains a comprehensive and efficient student and office database and files using both computer and manual filing systems
* Uses both computer and manual filing systems which allow for efficient collection, retention, and retrieval of information
* Prepares, creates, and composes bulletins, and other documents for the school or instructional programs, using current technology from rough drafts, notes, recordings, or oral instructions
* Prepares reports from confidential records
* Acts as liaison between the school site and the general public by conveying information concerning rules, regulations, policies, and laws
* Addresses standard inquiries by letter, phone, e-mail, fax, or personal contact
* Interacts with and assists students when necessary
* Maintains confidentiality of records
* Site / Program Support
* Assists in the development of office procedures
* Ensures that appropriate security and safety policies and procedures are followed within the office and the building
* Performs other related duties as assigned by the Administration
* Answer phones and deliver messages
* Maintain school calendar and scheduling information in the front hallway
* Assist with bulletin boards
* Maintain office equipment such as copier, fax machine, and laminator, etc.

JOB REQUIREMENTS:
* Any combination of training and/or experience that demonstrates the ability to perform the duties as described, but not less than three years total
* Completion of postsecondary business school or college preferred
* Experience working at a school site is desirable
* Skilled in using technology, office software, and websites
* Excellent organizational skills, ability to work independently, and maintain a high degree of confidentiality
* Excellent oral, written, and communication skills
* Such alternatives to the above qualifications as the Superintendent and/or his/her designee may find appropriate
* Citizenship, residency, or work visa required
* Cori and fingerprint clearance are required
REPORTS TO: Principal/Administrator
LENGTH OF POSITION: 190 days, school year (Unit C contract)
WORK HOURS: 6:30 am - 2:30 pm
