Job Description:
Provide assistance to supervisors in the administration of departmental programs or activities. Direct daily office operations pertaining to departmental programs and procedures. Relieve supervisors of routine and some non-routine administrative duties. Exercise independent judgment in resolving issues or concerns related to departmental policies and procedures.Essential Functions:Research, collect, and interpret data for the purpose of providing information to others, developing programs, making recommendations, and preparing materials. Evaluate programs, provide input in the decision-making process and administers new policies and programs.Maintain highly confidential personnel files and payroll records. Track available positions, compiles information for job descriptions, new job openings and employee searches. Interpret policies/procedures and transmits decisions and directives for the benefit of support staff, faculty and student assistants.Maintain calendars, organize meetings, coordinate special events and travel arrangements and compose correspondence. Update and manage computer database and file systems. Utilize software packages and computer applications to create spreadsheets and documents for the completion of projects.Monitor budgets, establish start-up accounting procedures, and manage or close out special accounts for the department. Research products, vendors, and prices to properly appropriate funds for the purchase of equipment and supplies.Coordinate public relations activities for the purpose of responding to inquiries and complaints, furnishing information to the public and providing explanations. Act as a liaison between the department and the university community.Assign, train, supervise and review the work of designated clerical support personnel and student assistants.Additional Position Information:- Serves patients by greeting and helping them, scheduling appointments, and maintaining record, accounts, and related documentation.- Welcomes patients and visitors in person or on the telephone/email and answering or referring inquiries.- Optimizes patients' satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone.- Keeps patient appointments on schedule by notifying provider of patient's arrival, reviewing service delivery compared to schedule, and reminding providers of service delays.- Comforts patients by anticipating patients' anxieties, answering patients' questions, and maintaining reception area.- Ensures availability of treatment information by filing and retrieving patient records.- Maintains patient accounts by obtaining, recording, and updating personal and financial information.- Verifies health insurance benefits for patients.- Obtains revenue by recording and updating financial information, recording and collecting patient charges, controlling credit extended to patients, and filing, collecting, and expediting third-party claims.- Provides assistance to providers in terms of scheduling, personnel record-keeping, and related documentation.- Maintains business office inventory and equipment by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, verifying receipt of supplies, and scheduling equipment service and repairs.- Helps patients who might be in distress by responding to emergencies.- Protects patients' rights by maintaining confidentiality of medical, personal, and financial information.- Maintains operations and facility by following policies and procedures, reporting needed changes.- Contributes to team effort by accomplishing related results as needed.Required Qualifications: 18 months of education or training beyond high school and a minimum of 2 years of experience in office/clerical procedures. Ability to coordinate programs, work in a fast-paced environment, and utilize new technology required. Advanced computer skills including word processing, spreadsheet, and database software packages required.
