We welcome applicants from all backgrounds and experiences who are committed to excellence in education.Job Purpose:The purpose of this position is to provide administrative support to the Associate Vice President of Marketing, Communications and Executive Operations, and the Executive Director of the TCTC Foundation, as well as staff in the Foundation Office and Marketing/Public Relations Office. This position requires effective oral and written communication skills to effectively work with a variety of constituents, as well as organization and time management. Travel between multiple buildings and TCTC locations will be required. Must have knowledge on database management and data entry.Job Duties:
- Budgeting: Manages and maintains the budgets for Marketing, Public Relations, the Foundation, and College promotional items. Maintains complete, accurate and up-to-date records on each budget that reconciles with the College's Banner accounting system. Serves as P-card manager for P-card holders, manages and reallocates all P-card purchases as appropriate. Approves and allocates all purchases in the WORKS system. Contracts with vendors and keeps all necessary paperwork regarding this process.
- Administrative Support: Provides administrative support to Marketing, Public Relations, and the Foundation to include, but not limited to, the following: reporting; job trafficking for marketing campaigns; managing mailing lists and RSVPs; scheduling meetings and making room reservations; scheduling and coordinating the logistics of video and photo shoots; reserving parking; ordering catering; and making travel arrangements. Records and distributes Foundation Board and Finance Committee meeting minutes and assembles meeting materials. Receives phone calls, maintains an efficient filing system, greets and assists visitors, and picks up and manages incoming and outgoing mail.
- Special Events & Donor Relations: Assists with special events and donor relations to include but not limited to entering donor gifts in database and generating thank you letters; scholarship recipient thank you letters; endowment report mailings; tax statements; birthday, anniversary and holiday cards; annual appeal mailers; employee giving campaign; the President's Reception, President's Cup and other College or Foundation events.
- Inventory Support: Maintains an accurate file on office inventory, which includes but is not limited to office supplies, promotional items and loanable items such as games, signage, banners, tablecloths, etc. Manages the request and return of loanable items. Maintains inventory storage area. Orders office supplies as needed.
- Performs other duties as assigned by the Associate Vice President of Marketing, Communications and Executive Operations.
